Contact Synchronization Scenarios for Microsoft Outlook

The following are some common scenarios to help explain how contact synchronization with Microsoft Outlook works.

Synchronization is restricted by the built-in data security associated with the user who is logged on to Infor CRM. The amount of data available to transfer is limited by the security rights of the user logged in.

Add a contact from the Infor CRM database to Microsoft Outlook Add the contact to the contact sync group in Infor CRM. The contact is added during the next synchronization cycle.
Add an individual contact record from Microsoft Outlook to the Infor CRM.

Add the contact to the contact sync folder and run a synchronization.

The record is added to the Infor CRM contact sync group and the data synchronizes whenever a synchronization cycle runs.

Scenario 1: If no company name is associated with the contact, is created using the contact name, for example, "Firstname<space> Lastname".

Note: If the company name is edited after the initial synchronization cycle the change will not be synchronized to Infor CRM.

Scenario 2: If a company name is an EXACT match of in Infor CRM, the new contact is linked to the matching account.

Synchronize a contact record that currently exists in both Infor CRM and Microsoft Outlook.

Add the contact to the contact sync group in Infor CRM, or the contact sync folder in Microsoft Outlook. During synchronization, the data is compared and changes are made to ensure the information matches.

The data synchronizes and will continue to synchronize whenever a synchronization cycle runs.
Stop synchronizing a contact.
  1. Move the contact to a contact folder other than the contact sync folder and run a synchronization cycle.
  2. In Infor CRM, remove the contact from the contact sync group,.
The contact is removed from the contact sync group, so that it is no longer synchronized to Microsoft Outlook, but is not deleted from Infor CRM.
Delete a contact from both applications. Delete the contact in Infor CRM, and run a synchronization cycle. The contact is deleted in Infor CRM and moved to the Outlook Deleted Items folder where it can be permanently deleted.
Delete a contact from Infor CRM, but keep the contact in Microsoft Outlook.
  1. Move the contact to a contact folder other than the contact sync folder and run a synchronization cycle.
  2. Delete the contact from Infor CRM.
The contact is deleted in Infor CRM, but still available in Microsoft Outlook.
