RMA Return Transaction

Use this form to accept material which has been returned by customers. Each warehouse will see only those line items that will be returned to it and for which the Return to Stock check box is selected.

Once you find the line item against which you wish to receive returned materials, enter the quantity that was returned and whether items should be returned to stock.

If the quantity received equals the quantity authorized to be returned, the return receipt process will automatically change the status of the line item to Filled. If the quantity received is less than the quantity authorized, then more material can be accepted against this return at a later shipment. Only materials actually returned will be credited to the customer.

The Cost Detail tab displays the material, labor, fixed overhead, variable overhead, and outside costs associated with the RMA. These fields are enabled when the Qty to Return is not zero and the Return to Stock and Disposition fields are selected. Costs are then determined:

  • If Qty to Return is more than zero and Return to Stock is selected, the costs are derived from the last CO Shipment record associated with the CO number, line and release. If no CO Shipment record is found, and costing is at the warehouse level, costs are derived from the item/warehouse. Otherwise costs are derived from the item record.
  • Otherwise, the costs are set to zero.
Note: 

You can enter a negative quantity as a method to offset or adjust a prior return that has not yet been credited. The system will prompt you for a reason code for the adjustment. Once a credit memo has been issued, negative adjustments are no longer possible.
