Document profiles

You must add a document profile record for each document type you receive. You can use the document profile to establish email alerts when documents are published. The alerts can be establish with or instead of the receive.

Select Communications > Define Documents to work with document profile records.

Using the document profile, three different levels of data receipt (export) can be set up for each document type sent to Supplier Exchange.

  • Automatic File Receipt

    If you have a persistent Internet connection, you can set up the document profile so that Supplier Exchange automatically exports files to your computer through FTP.

  • Email Notification with File Attachment

    If you do not have a persistent Internet connection but use a local ERP/MRP, you can set up the document profile so that Supplier Exchange sends an email message when your customer publishes data. The data is attached in a file.

  • Email Notification

    You can set up the document profile so that Supplier Exchange sends an email message when your customer publishes data. This prevents you from having to log in to check for new demand or receipts.

With the exception of PDF files, if you receive a file from Supplier Exchange, its file extension indicates the type of document, not the format of the file. For example, a material release has a .mat file extension. To open the file, you must save it with the extension of the format you selected in the document profile. If you selected to receive a material release in XML formal, you must replace the .mat extension with .xml before opening the file. PDF will always be received with the correct .pdf extension.
