Print W-2 Forms Report

This report prints the standard W-2 information to give to your employees for tax filing purposes. Print the W-2s before compressing the posted transactions, because the W-2 amounts are determined by summing the amounts of posted payroll transactions.

When implementing Payroll in the middle of a year, use the Payroll Processing function to enter an adjustment transaction for each employee to process the initial YTD information.

An additional W-2 is generated for each employee who takes an additional tax deduction. For more information, see the information about Local Taxes in the Setting Up Employee Deductions help topic.

When you print multiple W-2s for the same employee, the second and following W-2s print only those federal, state, and local amounts that were not printed on previous W-2s.

The Retirement Plan Box is checked if any deductions with the code D, E, F, G, H, or S are printed in box 12 or if the In Pension Plan field on the Employees form is selected.

The system prints W-2s to pre-printed laser forms. Printing of double-wide W-2 forms and double-wide W-2 mailers is not supported.

Note:  To report consolidated state tax withholding, you must enter consolidated state information on the W-2 States To Be Consolidated form prior to printing the W-2 forms.
