Setting Infor CRM Connector Sync Options

The Sync options determine what and how information will synchronize between Infor CRM and Outlook.
Note: This tab is required for Outlook sync only.

To set options:

  1. Click Infor CRM Options and click Sync.
  2. To synchronize contacts:
    1. Select the Synchronize Contacts check box.
    2. Specify this information:
      Ad hoc Group
      Click the drop-down arrow and select the contact group you created in Infor CRM that contains the contacts to synchronize.

      If the group you created does not appear in the list, click the Refresh button next to the drop down to refresh the list.

      Folder
      Click the drop-down arrow and select the folder in Outlook that contains the contacts to synchronize.
      Sync Direction
      Click the drop-down arrow and select how you want contacts to be synchronized between Outlook and Infor CRM.
    Note: This option may not be editable if the system administrator has set the Lock Sync Direction option.
  3. If you want to synchronize leads, complete the following:
    1. Select the Synchronize Leads check box.
    2. Click the Ad hoc Group drop-down arrow and select the lead group you created in Infor CRM that contains the leads to synchronize. If the group you created does not appear in the list, click the Refresh button next to the drop down to refresh the list.
      Note: Windows only. If you plan to use the Add Leads to Outlook button in the Infor CRM Client and you want all of your leads to be in the same group in Infor CRM, you must select the same group in Infor CRM and Outlook.
    3. Click the Folder drop-down arrow and select the folder in Outlook that contains the leads to synchronize.
      Note: Windows only. If you plan to use the Add Leads to Outlook button in the Infor CRM Client and you want all of your leads to be in the same leads folder in Outlook, you must select the Leads folder.
    4. Click the Sync Direction drop-down arrow and select how you want leads to be synchronized between Outlook and Infor CRM.
      Note: Click the Sync Direction drop-down arrow and select how you want leads to be synchronized between Outlook and Infor CRM.
  4. To synchronize appointments (Infor CRM phone calls, meetings and personal activities):
    1. Select the Synchronize Appointment check box.
    2. Specify this information:
      Folder
      Click the ellipsis button and select the folder in Outlook that will contain the appointments to synchronize. The default is Calendar.
      Sync direction
      Click the drop-down arrow and select how you want contacts to be synchronized between Outlook and Infor CRM.

      To limit the appointments to be synchronized, select this check box, click the drop-down arrow and select a date from the calendar.

      Only appointments (or phone calls, meetings and personal activities) scheduled on or after the selected date are synchronized. However, activities that are edited (including snoozing or dismissing an alarm) after the selected date and any past occurrences of a current recurring activity will synchronize.

  5. To specify the criteria for synchronizing appointments by category or private/personal appointments, complete these fields:
    1. Click More to open the Advanced Appointment Synchronization Options dialog box.
    2. If you do not want to synchronize private or personal appointments, clear the Synchronize Appointments Marked as Private / Personal option.
      By default this option is selected.
    3. Select one of the following options to determine how to synchronize appointments based upon category:
      • To synchronize all appointments regardless of category select Synchronize All. By default this option is selected.
      • To synchronize only appointments with a particular category select Synchronize Only the Following Category, click the drop-down arrow, and then select from the list.
      • To not synchronize appointments with particular categories, select Do not Synchronize Appointments Assigned the Following Categories and select one or more of the options in the list.

    4. Click OK.
  6. If you want to synchronize tasks (Infor CRM to-dos):
    1. Select the Synchronize Tasks check box.
    2. Specify this information:
      Folder
      Click the ellipsis button and select the folder in Outlook that will contain the tasks to synchronize. The default is Tasks.
      Sync Direction
      Click the drop-down arrow and select how you want contacts to be synchronized between Outlook and Infor CRM.

      To limit the tasks to be synchronized, select this check box, click the drop-down arrow and select a date from the calendar.

      Only tasks (or phone calls, meetings and personal activities) scheduled on or after the selected date are synchronized.   7. In the Sync interval field, select the number of minutes between synchronizing between Outlook and Infor CRM.
  8. Click OK, if you are finished setting all of your options, or select other options tab.
