Invoice profiles

To help streamline the manual creation of invoices, the customer can set up their invoice profile. The invoice profile information is used to auto-fill information on the invoice upon creation based on the selected facility and Ship To. At the minimum, customers must set up tax codes before suppliers can create or import invoices. Additional setup is optional. If the customer does not set up the invoice profile, all information contained in the profile must be manually entered on the invoice by the supplier. If billing information is not set up, the supplier cannot add this information later.

Some profile information is set company-wide, some is set at the facility level, and some is set at the Ship To level. Items set at the facility level have a record created for all facilities and then for specific facilities. Items set at Ship To level have a record created for all facilities/all Ship Tos, specific facility/all Ship Tos, and finally specific facility/specific Ship Tos. The invoice profile is accessed from the customers Billing menu. Through it, the customer sets:

  • Tax qualifiers. Tax qualifiers indicate what kind of tax a tax item is, such as local tax, state tax, etc. These are categories to which specific tax IDs will later be added. There are standard EDI codes used as tax qualifiers, but they are not required to be used by the application.
  • Tax codes. Set at the facility level. The tax codes indicate the code and the tax percentage associated, i.e. MI 7%.
  • Tax exempt. Set at the Ship To level. The tax exempt record indicates which tax qualifiers and tax IDs are exempt for specific locations. For example, a specific Ship To is exempt from paying local tax, so the tax qualifier is used to indicate local tax is selected for the exemption. An associated tax exemption code is entered.
  • Billing information. Set at the Ship To level. The billing information includes a main tax ID and Bill To information.
