Ledger Entry Security
Use the Security Console or User Manager to control access to Ledger Entry (LEN) and the actions available within it.
Each journal entered in SunSystems is assigned a unique identifying journal number, which provides an audit trail. The next available journal number is assigned to a journal when the journal is posted, including any transactions generated automatically by SunSystems. The Operator Id of the person who entered or posted a journal can be recorded as part of the journal information. Three Force Journal Source options are available in Ledger Setup (LES) to determine the entry of the operator id which is referred to as the journal source:
- the operator id can be entered manually each time a journal is created.
- the operator id of the person who keyed in the journal can be recorded automatically.
- the operator id of the person who posted the journal can be recorded automatically.
Supervisor Validation of Transactions
Until a journal is posted, you can amend or delete the transaction details. If you want to add a separate procedure to validate journals that have been entered, you can use the journal hold file to save transactions until they are validated.
You can retrieve held journals and, once approved, the journals can be posted. Held transactions are treated as unposted and are therefore not included in general reports.
