ION Workflows

A workflow is used to automate the tasks and accelerate the various processed in an organization. The ION workflow functionality in Infor CloudSuite CRM is based on the Infor Back Office Extension functionality.

The ION workflows are defined in Infor ION Desk. In Infor CloudSuite CRM, references can be created to these workflows and the conditions can be defined to trigger the workflows automatically or manually. Infor CloudSuite CRM provides sample workflow references for these entities:

  • Leads
  • Opportunities
  • Quotes
  • Sales Orders
Note: Hereafter, these workflow references in Infor CloudSuite CRM are referred to as workflows.

The user with the Administrator role can create new workflows based on the requirements of the organization. Multiple workflows can be created for one entity.

The Drillback and in-context functionalities are also supported. The sample ION workflows and the Drillback view definition file can be downloaded from KB#1918950 available at https://www.inforxtreme.com. Note: The ION workflow functionality can be used only if Infor CRM is integrated with Infor Ming.le (ION enabled).

The prerequisites to create a workflow

The prerequisites to create and use the workflows in Infor CloudSuite CRM:

  • The name of the workflow in Infor CloudSuite CRM must match the name of the workflow defined in ION Desk.
  • The name of the workflow field mappings in Infor CloudSuite CRM must match the name of the workflow attribute in ION Desk.
  • Customers using ION versions prior to Xi 12.0.11. CE and Xi12.0.7 must upload the Drillback definition file in ION Desk and Ming.le to use the Drillback functionality.
Note: The names are case-sensitive and must not contain spaces.

An Example to use ION Workflow

Consider a company that uses Infor CloudSuite CRM with the ION workflow functionality enabled. A user with the Administrator role creates a workflow for the sales order and defines a trigger condition for the workflow:

When a new opportunity for more than $1000 is created and the close probability is more than 30%, the opportunity must be reviewed by the senior sales manager specified in the Approver Email List field, in the workflow definition, before the opportunity can be processed further.

John is an employee in this company who is working on an opportunity which amounts to $5000. After a successful meeting with his customers, John updates the close probability of the opportunity to 40%. At this point the opportunity is locked and a task is created in Infor Ming.le for the senior sales manager. Based on the action taken on the task, the opportunity is unlocked and is available for John to resume working on the deal.
