Exporting the current report with the Book Export Wizard

You can use the Book Export Wizard to export the current report or a report book. The Export Wizard is available in all report modes.

See report modes.

  1. Select File > Export/Import > Book Export Wizard.
  2. Select Current Report.
  3. Click Next.
The Export Ranges step is displayed. Each list view object in the report (for example, a combo box) is listed as a report parameter. By selecting from the list view objects in the report, you display different views of the report data. For example, in a report which has two combo boxes each of which contain four years and four products respectively, there are 16 possible combinations of elements - 16 possible views of the report to export.
  4. For each report parameter, select which views of the report to export.
    The options are:
    • Automatic: The view for the current element will be exported.
    • All Elements: A view for each element in the list object will be exported.
    • Selection: The Select Elements dialog box is displayed when you select this option. A view for each element that you select will be exported.

Combo boxes and option buttons can have a Selection Changed action defined on them.

    See Action modes.

If the action type is Set Parameters or Recalculate Report, you can specify whether the action is executed only when a user changes the selection, or if it is executed when a report book is printed or exported.

If All selection changes is selected as the value of the Execution input in the action, the action is executed for each view of the reports which you export or print.

  5. By default, all views are exported to a single file. Optionally, select the Split By option for a parameter to generate separate files.
For example: A report has two combo boxes, A and B. In the Export Wizard, you select four elements from parameter A and two elements from parameter B. If you Split By parameter A, four files are generated - one for each element selected from parameter A. Each file contains two views - Parameter A + element B1 and Parameter A + element B2. If you split by parameter B, two files are generated. Each file contains four views - Parameter B combined with each Parameter A element.
  6. Click Next.

The Page Setup dialog box is displayed.

    See Specifying the page setup.

  7. Select options to specify the page size, orientation, scaling and margins of the exported reports and click Next.
  8. Specify header and footer options as required and click Next.
  9. Specify the location to which to export the report.
The exported file has the unique name of the report.
  10. Select an output format.

    • HTML: Click Options to specify options for exporting charts and graphics.
    • PDF.
    • Excel 97-2003 Workbook (*.xls): Microsoft Excel formulas are exported.
