Creating scheduled tasks

To create a scheduled task:

  1. Right-click My Scheduled Tasks.
  2. Select New > Scheduled Task.
  3. On the General tab, you specify which reports are to be printed or exported.
    Specify this information:
    Name and description
    Specify a name for the task and, optionally, a description. To provide a translation of the name and description, click Show all languages. Double-click the Name or Description field for the appropriate language, specify the value and press <Enter>.
    Type
    Select Print or Export from the Type list. If you select Export, the output format list is enabled. Select one of these export formats:
    • HTML
    • PDF
    • Excel: The report and its formulas are exported to Microsoft Excel.
    • Excel value: Only the values of the report are exported to Excel.
    Enabled
    To enable the task, select Enabled.
    Content
    To schedule a single report, select a report and specify a file name. To schedule a report book, select Report book and select the report book. Click Settings to access the Report Book Editor.
    Note: The Settings button is disabled if dynamic delivery is enabled for the selected report book.
    Run as user
    Specify the user name and password of the user under which the task is to run.
  4. On the Time tab, there are several options to specify when, and how often, a task will run.
    Specify the times at which a scheduled task will run.
  5. Select the time zone with reference to which the scheduled task will run.
    If the selected time zone is different from the local time specified in the computer's regional settings, the difference is displayed as the Local time offset.
  6. Select the date on which the schedule starts.
    The start date cannot be before the current date.
  7. Select the date on which the schedule will end. Reports will no longer be delivered after this date. Or, if the schedule will not end, select Never.
  8. Specify whether the report will be delivered every month or on selected months.
  9. Specify the days on which the report will be delivered.
    The specified days can be:
    • Every day
    • On specified days of the week
    • On a specified date of each month or of specified months. For example, on the 6th day of every month or on the 6th day of every April, June and September. Specify a comma-separated list of numerical values (e.g. 1,9,14)
    • On a specified day of each month or of specified months. For example, on the first Monday of every month or the first Monday of every May, July and August. Select Every and specify a numerical value in the first field and a day in the second field.
  10. Specify the time at which the report will be delivered.
  11. Specify whether the report will be delivered once during the day, at the start time. Or specify that the report will be delivered every n hours or n minutes through the day. For example, select Every and specify that a report runs at 12:25 and then at 25 minutes past the hour, every two hours, until the end of the day. Or specify that the report runs every 10 minutes.
  12. Specify the period during which the task will repeat.
  13. Optionally, specify on the Notification tab that an email notification is sent:
    • When a scheduled task runs successfully
    • The first time a scheduled task fails to run successfully
    • Each time a scheduled task fails to run successfully
  14. Specify the mail addresses to which to send notifications.
  15. Specify a subject for the notification email. For success notifications the subject you specify is prefixed with "Succeeded:" For failure notifications, the subject you specify is prefixed "Failed:"
  16. Optionally, specify a message for failure notifications. The text of success notifications is "Scheduled task [task_name] has succeeded." For failure notifications, the text is "Scheduled task [task_name] has failed" followed by a reason for the failure. You can add further text if required. For example, "For help, contact..."
  17. Select the required notification options.
  18. On the File Settings tab, specify the file system options.
    File system options include the name of the folder to which reports will be delivered and how multiple instances of a single report will be stored. For example, if a report is delivered every hour throughout the day, you can specify that each instance of the report is stored in a subfolder and that the subfolder is labeled with the time of delivery.
  19. If a report will be exported multiple times, you can specify a suffix to add to the file name each time the report is exported. The options are:
    • Date: yyyy_mm_dd will be added
    • Time: hh_mm_ss will be added
    • Date and Time: yyyy_mm_dd_hh_mm_ss will be added
    • Random: A six-digit number will be added.
  20. Exports can be delivered in a compressed (.zip) file. Optionally, select Compress and specify a name for the file.
  21. Select a delivery target. The options are:
    • Do not store
    • Store in file system
  22. Specify the path to the selected delivery target.
    If an email will be sent, the file path can be attached as a link.
  23. If the reports will be exported multiple times you can specify a suffix to add to the target destination folder. The options are the same as for the file name. Or, select Overwrite files to specify that only the most recent export is stored.
    If you do not specify a suffix or select Overwrite files, only the first export of the report will be stored. Subsequent exports will fail because the file already exists.
  24. On the Email tab, specify the Email options.
    Email options include the recipients, subject header and whether the report will be attached to the mail or linked.

    There are two methods of delivering scheduled reports by email. You can specify a dynamic list of email addresses in the Deliver Report Book action of a delivery drive report. In this case, select Use dynamic list of recipients. Or, you can specify a static list of recipients. In this case, specify the recipient addresses in the To:, Cc and Bcc fields of the Email tab.

  25. Specify whether the report will be sent as an attachment or as a link to the delivery target specified on the File Settings tab.
  26. Specify the email addresses of the recipients.
  27. Specify the subject of the email.
  28. Optionally, specify a message to accompany the report.
  29. Reports can be large. To limit the size of attached mails, select Limit attachment size to: and specify a size in kilobytes.
  30. On the Printer Settings tab, specify the Printing options.
    Printing options include the printer to which the report is sent and the number of copies to be printed.
  31. Select the printer on which the report will print.
  32. Select the paper source.
  33. Specify whether to print all pages of the reports or a range of pages.
  34. Specify the number of copies to print.
  35. Optionally, select Collated to collate the pages of the printed reports.
  36. Select the Duplex option. That is, Horizontal, Vertical or Simplex.
  37. Select whether to print all pages, even numbered pages or odd numbered pages.
