Assigning Business Units to Financial Calendar Years

Financial Calendars enables you to define and display the financial year across one or more business units.

Financial Calendar Years displays the business units and modules for which the financial year is to be applied, taking account of the modules which you are serialized for.

To assign business units to a financial calendar year, select Year in Financial Calendars (FCS) for the relevant calendar code.

In Financial Calendar Years select the year to be assigned.

Note: The Financial Calendar and the Financial Calendar Years must have a status of open before any business units can be assigned.

Select Action > Assign to display the Financial Calendar Assign Business Units form.

The form displays the Financial Calendar Code and Financial Year information which have been set up as per the preceding form. The form also displays a grid populated with the business units belonging to the domain and which are as yet unassigned to any Financial Year, detailing the Business Unit Code, Business Unit Group, Business Unit Name and a column entitled Assign.

If there are no business units available for assignment the following message is displayed, 'There are no Business Units available for assignment'.

Note: Business units which are off line, within a store group or archived are not displayed in the grid.
Note: If the Financial Year is created based on the previous Financial Year which already has business units assigned then those business units are already assigned to this Financial Year and are not displayed in the grid.

Select the Assign checkbox for each business unit to be assigned to the Financial Calendar Financial Year displayed.

On clicking OK, SunSystems checks whether the business units which are about to be assigned were previously assigned to another Financial Calendar and that the previous Financial Year finished on the day prior to the Start Date of the Financial Year now being applied.

If the last Financial Year used by one or more of the business units being assigned did not end on the day prior to the start of the current Financial Year now being applied the following message is displayed, 'Cannot assign Business Unit, because previous and current Financial Years are not aligned'.

SunSystems also checks that if any subsequent Financial Years exist for any of the business units being assigned, that they start on the first calendar day after the end of the Financial Year to which the business units are now being assigned.

If a subsequent Financial Year has been used by one or more of the business units which are about to be assigned, but it does not start on the first calendar day after the end of the Financial Year being applied, the following message is displayed, 'Cannot assign Business Unit, because current and subsequent Financial Years are not aligned'.

If transactional data exists for any business units which are about to be assigned and there are periods for the year that are beyond the last period for this Financial Year then the following message is displayed, 'Cannot assign Business Unit, because transactions already exist beyond the periods of the Financial Year being applied'.

Once completed the following message is displayed 'Do you wish to activate the Financial Calendar?' Select Yes to activate the Financial Calendar and Financial Calendar Year. The Financial Calendar Manage Periods form is opened which displays the Manage Periods grid with the Active Status flag set to Inactive. See Manage Accounting Periods for more information.

Unassigning Business Units to Financial Calendar Years

To unassign business units to a financial calendar year, select Year in Financial Calendars (FCS) for the relevant calendar code.

In Financial Calendar Years select the year to be unassigned.

Select Action > Unassign to display the Financial Calendar Assign Business Units form.

The form displays the Financial Calendar Code and Financial Year information which have been set up as per the preceding form. The form also displays a grid populated with the business units belonging to the domain and which are currently assigned to the Financial Year, detailing the Business Unit Code, Business Unit Group, Business Unit Name and a column entitled Assign.

Note: Business units which are off line, within a store group or archived are not displayed in the grid.

Select the Assign checkbox to uncheck each business unit to be unassigned to the Financial Calendar Financial Year displayed.
