Posting Details
-
Specify this information:
- Posting Type
-
This determines whether or not the generated transactions are posted, and whether they can be posted if they contain errors. Three options are available:
- Validate only - if this option is selected the transactions are validated but not posted.
- Post - if this option is selected the transactions are validated, balancing transactions are generated to balance the journal if necessary and the journal is posted.
- Post if No Errors Found - if this option is selected the transactions are validated and, providing there are no errors, posted. This can be overridden for an imbalance by using the Posting Allow Balance Trans setting described below.
- Posting Report Format
-
The report format to use for reporting the details of the validation, or the posting of the reversal or copy.
- Posting Write to Hold
-
This option validates the generated journals and stores them as held journals on the Journal Hold file. This provides an additional level of posting control because they then need to be released from hold and posted. If this option is left unchecked, the journals are validated and posted as provisional or permanent postings. See 'Holding a Journal to Delay Posting'.
- Provisional Posting
-
If the Provisional Postings option in Ledger Setup (LES) is Optional and this option is also set, the generated transactions are validated and/or posted as provisional transactions. If this option is not set, the generated transactions are validated and/or posted as permanent transactions.
- Posting Allow Balance Trans
-
This option allows the system to generate and post balancing transactions if there is an imbalance in the base amount or in any of the currency values that require Amount Balancing, as determined on the Business Unit Setup. The option is only effective when Posting Type (described above) is set to Post if No Errors Found.
Use this option in conjunction with Post if No Errors Found if you want to permit an imported journal to be posted even if it is unbalanced, whilst nevertheless preventing the journal from being posted if it contains other errors, such as prohibited analysis codes, closed accounts, dates, or periods.
If this option is set, any generated balancing adjustments are treated in one of two ways depending on the cause of the imbalance:
-
For an imbalance due to a currency conversion rounding difference, the adjustment transaction is posted to the corresponding Balancing Account identified on Business Unit Setup Value 1, Value 2, Value 3 or Value 4 tab, depending on the currency value being adjusted (providing that the rounding difference is within the threshold for that currency value, also specified on the Business Unit Setup).
For an imbalance to be considered as due to a currency conversion rounding difference, the journal must balance in at least one of the currency values.
-
For all other imbalances, the balancing transaction is posted to the Base Suspense Account, the Transaction Suspense Account or the Reporting Suspense Account (specified on the Error Suspense Accounts tab), depending on the currency value being adjusted.
If this option check box is unchecked, imbalances are treated as errors that prevent the journal from being posted.
-
- Report Errors Only
-
Set this option to only report on transactions that contain substitutions, or which have been rejected. Leave this blank to report on all of the transactions.
- Allow Over Budget
-
This option overrides the budget controls and allows transactions to be posted if they exceed the available budget. See 'How are Transactions Checked Against Available Budget?'
- Post to Suspended Accounts
-
If this is set, transactions can post to ledger accounts with a status of Suspended. If not, a transaction posting to a suspended account is treated as an error.
