Defining Financial Statement Columns

  1. Open the Financial Statement Definition Columns form.

    You can launch the form on its own or from the Financial Statement Definition form.

  2. Specify this information:
    Report ID
    Select the ID of the report for which you are defining a column. If you launched the form from the Financial Statement Definition form, the ID of the report you are currently working with is displayed, and you cannot change it.
    Description
    After saving, a description of the ID is displayed.
    Column
    Specify the number of the column you are defining, or accept the default of the next sequential column number. You can use up to 99 columns per report.
    Divide By
    If you want to divide this column's amount, select the divisor amount to use. For example, if you want a number to be expressed in thousands, select 1000.
    Year Start
    Select the date and year you want to use as the year's starting date for calculating year-to-date amounts, or accept the default year start date from the Accounting Periods form.
    Period Start/End
    Select the period range for the column. This value is used for calculating period-to-date amounts.
    Period
    Select the period you want to report on. If a period is not specified, the one entered on the Financial Statement Output form is used by default.
    Source
    Select the source of the amount to be printed in this column of the report:
    • Ledger: Use the account balance amount.
    • Budget: Take the amount from the Budgeted Change field on the Chart of Accounts Budget and Plan form.
    • Plan: Take the amount from the Planned Change field on the Chart of Accounts Budget and Plan form.
    • Calculate: Have the system calculate the amount on the fly.
    Amount Type
    Select the amount type for the column:
    • Balance
    • Start Balance
    • Year-T-D (Year to date)
    • Period-T-D (Period to date)
    Calculation Column 1 and 2
    Specify a calculation value. Calculation columns do not have to represent actual data columns. They can reference other calculated columns. Calculation columns are evaluated, starting with column 1.This field is available only if the Source type is Calculate.
    Calculation Type
    Select a calculation type to use:
    • Add
    • Subtract
    • Multiply
    • Divide
    This field is available only if the source type is calculate.
  3. Save the record.
