Setting up Instalment Lines for Scheduled Payments

Scheduled Payments allows transaction lines to be automatically split according to a schedule of percentages and date information that you configure.

After you configure the options in Scheduled Payments Setup (SCH), select Action > Instalment Lines Setup. Information is then created, as far as possible automatically, in the detailed Instalment Lines Setup form. This topic describes the fields displayed in the Instalment Lines Setup form, and how to change details of individual lines.

Uwaga:  This form is not available directly from SunSystems, and can only be accessed from Scheduled Payments Setup (SCH) by clicking Action > Instalment Lines Setup.

The Instalment Lines Setup form consists of two parts - a header and a grid. The header section contains the same fields as the columns of the grid; the only difference is that the header only displays the information for one instalment line at a time. The grid displays all the instalment lines setup, one row for each, and when you first open this form, all the lines are automatically calculated for the payment schedule. The number of lines created depends on the Number of Instalment Lines option set on the Scheduled Payments Setup (SCH) form.

  1. Specify this information:
    Scheduled Payment Code

The code identifying the Scheduled Payment record to which these instalment lines are attached. This code is for display only and cannot be modified.

    Instalment Line Number

Each row is numbered consecutively. This is for display only and cannot be modified.

    Percentage Due

The percentage due is automatically calculated for each line, as 100 / number of lines. For example if you specify 3 for Number of Instalment Lines in the Scheduled Payments Setup form, then three lines are created with a default of 33.333 percent on each line. You can modify the percentage of any of the lines, but the total must always add to as near 100 as possible.

Uwaga: Although the sum of percentages might not add to exactly to 100 (due to the rounding of decimals - for example 99.999), it is important to remember that when a transaction is split during Ledger Entry or Ledger Import, the treatment of any such remainder is determined by the Rounding Amounts option in Scheduled Payments Setup (SCH).
    Instalment Term

The number of days, months, or years relative to the base date for calculating the due date of each instalment line. This is based on the Time Interval you specify on the Scheduled Payments Setup form. For example, if three instalments are required with Time Units as Days, and a Time Interval of 30, then Instalment Lines 1, 2, and 3 are created with Instalment Terms of 30, 60 and 90 respectively.

The actual unit of time (days, months or years) is, in fact, not displayed here, as absolute dates are not calculated at this stage; they are only calculated when a transaction is actually split.

You can modify the Instalment Term for each line to any number up to 999, including 0 (zero). If you enter an Instalment Term of 0 for a line, then a due date is not calculated for that line when the split is processed in Ledger Entry or Ledger Import, and the transaction date is instead substituted as the due date. The due date, however, can subsequently be modified.

To modify the Percentage Due or the Instalment Term on any of the lines, click Amend. The information for the line being edited is displayed in the Header fields above the grid. You can edit either in the Header fields, or within the grid itself.

  2. Save your changes.
