Changing Account Number Format

  1. Open the Account Number Formatting form.
  2. On the form, specify this information:
    Template
    Specify the format for the account number. The form lists the characters that are valid for data entry. The template may include up to two segments, separated by a hyphen. You can use the default formatting mask or set up a different mask.
    Sub-Account
    Select the segment entered in the Template field that represents the sub-account portion of the number. This field is visible and enabled only if you selected the Store Sub-Account Separately check box.
    Truncate Account on the Left Side
    If you changed the format in the Template field and it is shorter than the current format, the account numbers are truncated to the new size. Select this check box if you want to use the right-most characters in the account numbers in the new format, truncating the left-most numbers in the accounts. Clear this check box if you want to use the left-most characters in the new format. For example, suppose your account format currently consists of four characters in the main account portion and four characters in the sub-account portion. If you change the format to use only two characters in the sub-account portion, the existing sub-account numbers are truncated to two characters. For account number 1000-1234, selecting this check box would change it to 1000-34, while clearing this check box would change it to 1000-12.
    Store Sub-Account Separately
    Select this check box to indicate that the sub-account number is required. This check box is enabled only if you entered both an account and a sub-account segment in the Template field.
    Sample
    After clicking Test, specify a sample account number. This field allows you to test the new template format.
    Account (Help Messages)
    Specify the help message for the account segment of the template.
    Sub-Account (Help Messages)
    Specify the help message for the sub-account segment of the template. This field is visible and enabled only if the Template contains two segments.
    Unit Code 1-4 (Help Messages)
    Specify up to four help messages for the Unit Code 1-4 fields.
  3. Click Test to test the new template format.

    The Sample field becomes activated so that you can enter a sample account number to test.

  4. Click Process to run the utility and change the account number format.
