Time entry approval process (employee)

Use this procedure to submit a time period for approval.

Time records can also be created and submitted from the employee's calendar if that pay period is open for time entry.

  1. Select Employee > To Do > My Time.

    The Open Pay Periods tab displays the periods in which time can still be entered and submitted. The Not Submitted Hours amount includes hours in Draft status and hours that have been rejected and must be resubmitted.

  2. Open the pay period.
  3. Optionally, edit the Hours and Pay Code fields.
  4. Click Submit Pay Period.

    A work unit is created for the pay period. Time records in Draft or Rejected status for the pay period are submitted for approval. The status of each time record is set to Submitted. After submission, time records are locked to the employee.

  5. To cancel a time period that has been submitted but has not been approved, click Cancel.
    Cancel action returns submitted time records to the draft state.
  6. To submit additional time records for a pay period that is open for entry, click +.

    The additional time record can be submitted individually or the pay period can be resubmitted. Submitting additional records cancels work units that are in process and creates a new work unit for approval.

  7. The employee receives an email after time records are approved or if the manager has rejected any time records.
