Adding a new alert or event

  1. Click Select Facility and select a facility.

    To view menu options for all of the equipment across your company's facility, select Enterprise. Otherwise, select a specific facility to view menu options available for the facility.

  2. Select Configuration > Alerts/Events to open the YMS Facility Alerts/Events page.
  3. Click New.
  4. Specify this information on the Alert/Event tab:
    Facility
    Select the facility from the list.
    Event Name
    Specify the event name.
    Event Description
    Specify a description of the event. This value is the user-defined long description of the event.
    Equipment Flow
    Select the equipment flow that defines the flow of equipment through the facility. Values are based on the facility selected.
    Equipment Status
    Select the equipment status that defines the status of the equipment.
    Active
    Specify Yes to indicate that the alert or event is currently active. Otherwise, specify No. Note that this field can be automatically changed to No if errors exist in the configuration preventing successful performing of the alert or event.
    Location Type
    Select the location type that defines the group of locations associated with the physical location of the equipment.
    Commodity
    Select the commodity that defines the commodity of the equipment record and current commodity loaded on the equipment.
    Current Status
    Select the equipment status that defines the state of the equipment at the time. These values are valid:
    • Empty
    • Inbound Material
    • Outbound Material
    • Stored Material
  5. Specify this information on the Last Run Results tab:
    Last Run Successful
    Specify if the last run results were successful.
  6. Specify this information on the Create Task tab:
    Generate task
    Select Yes to generate task. Otherwise, select No.
    Task Type
    If you select Yes for Generate task, select a task type. These values are valid:
    • Move: Select to generate a move when the condition of the equipment matches the criteria. If a move task is indicated these configuration options are displayed:
      • Move Priority: Specify the priority of the generated task by a number from 1 to 999.
      • Location, Zone, or Carrier: Select one of these values:
        • Location

          Select to indicate that the move is to a location. Then in the To Location Name field, select the location name that indicates where the equipment is to be moved.

        • Carrier Preferred Zone

          Select to indicate that the move is to an available location within the carrier preferred zone.

        • Zone

          Select to indicate that a move is to an available location within a zone. Then in the Zone field, select the zone where an available location is to be selected. When using zones, a search is performed to look for a location within the zone that meets these criteria:

          • Equipment or equipment status is not restricted from the location type
          • Location has available space for the equipment
          • Equipment fits in the location
          • Locations that meet criteria are evaluated in the location sequence order
      • Auto Complete: Select Yes to indicate that the move should be auto completed by the number of seconds specified in the Auto Complete In field. The move is completed when the time period has elapsed. Select No if the move is generated but an operator is required to perform the move.
    • Inspection: Select to generate an inspection task when the condition of the equipment matches the criteria. If an inspection task is indicated, then these fields are required:
      • Priority

        Specify a number from 1 to 999 to indicate the priority of the generated task.

      • Inspection Level

        Select the level of the inspection required. The level determines which of the questions configured for the equipment flow that the operator must answer. These values are valid:

        • Level 1 (Casual)
        • Level 2 (Moderate)
        • Level 3 (Detailed)
        • Level 4 (Comprehensive)
    • Status Change: Select to generate a status change when the condition of the equipment matches the criteria. If a status change task is indicated, then these fields are mandatory:
      • To Equipment Status

        Select a status value for the equipment flow that the equipment should be updated when the alert or event condition is met.

      • Status Change Timer

        Specify the time-period for the status change. The status change is automatically completed when the time-period has elapsed.

  7. Specify this information on the Email tab:
    Send Email
    Specify Yes to send an email. Otherwise, specify No. An email must have a subject and body.
    For both the email subject and email body, the text can be formatted to include specifics for the equipment that matches the criteria. Surround the text of the message with double quotes (“x”) and note the text of the equipment record values with an argument number preceded by percent %. Then, place the specific list of equipment record fields after the message in a comma delimited text. For example, Chemical truck %1 at door %2 with status %3 and equipment flow %4 with equipment type %5.     The message text is parsed and the argument (%n : where n represents a number) is replaced with the value from the equipment record field. Any equipment record field can be selected to be included in the dynamically formatted message. In this example, %1 is replaced by the EquipmentID and %2 is replaced with the LocationName. The message sent to the operator reads as this Chemical truck AB001 at door DOOR01 with status OPEN and equipment flow Inbound Tanker with equipment type TANK50.     Note: When using email notifications in the alert events, a system administrator should ensure in their regular maintenance activity that all outstanding alerts are cleaned up. To accomplish this task, the IFS Admin should cancel outstanding alerts manually from the Activities screen in a regular maintenance activity such as once a month. The Activities screen is located in ION Desk < Monitors & Workflows > Activities. To cancel outstanding alerts, the user can prepare a search query with these criteria:
    • Date range
    • Type: All or Alert
    • Source: for example, source name contains infor.yms
    The administrator must then click Search to apply the search query and click Cancel All to cancel all open alerts in the search results.
    Email Subject
    Specify the subject to be used in the email message.
    Email Body
    Specify the body of the email message.
    Email Subscription
    The list of Infor Ming.le user IFS ION-Person ID values to be notified when the alert or event condition is met.
  8. Click Save.
