Adding Mileage expenses

Mileage expenses can be used for reimbursing expenses incurred for business travels. Mileage is calculated based on distance traveled multiplied by the configured mileage rate.

  1. Click Create a New on the Infor Expense Management home page.
  2. Click Expense Report. The Document Header page is displayed.
  3. Specify the required information and click Save. The Expense Report details page is displayed.
  4. Click Out of Pocket to add an expense. The Expense Types window is displayed.
  5. Click Mileage. You can add mileage expenses using one of these options:
    • Selecting a mileage route
    • Calculating mileage using Google map or Bing map.
  6. Specify the other required information.
  7. Click Save.

The Mileage Route field displays a list of the Most Recently Used (MRU) routes. You can select the required route. The application automatically calculates the distance covered.

Calculating mileage using Google Maps and Bing Maps

You can calculate the distance in miles or kilometers for a Mileage expense using Google Maps or Bing Maps.

  1. Click Find Route/Distance in the Standard Information section of the line item details page. The Mileage/Map page is displayed.
  2. Specify a name for the route.
  3. Specify the starting location saved in the application or add a new location in the A (From) field. As you start typing, locations saved in the application are displayed alphabetically in the list for selection.
  4. Specify the ending location saved in the application or add a new location in the B (To) field. As you start typing, locations saved in the application are displayed alphabetically in the list for selection.
    Note: The locations saved in the application are displayed alphabetically in the From and To fields only if the Use in Mileage Map check box is selected on the Corporate Data Address screen in the SAT application. See, Infor Expense Management System Administration Tool User Guide.
  5. Click the Add a waypoint option to specify an existing intermediary location saved in the application or a new location.
  6. Click Find on Map. The map displays the route and the calculated distance.
    Note: You can click Find on Map again to review the address details of the specified locations.
  7. Click Done. The new locations, if specified in the From and To field, are automatically saved for future use.
