Associating data groups with users
Some users require access to all data, whereas other users require access to a large set of data for reporting purpose but require only a subset of data for creating the documents. The system administrators require access to a different set of data in the Infor Expense Management System Administration Tool application for running client applications. Based on the user requirement, an administrator provides access to the users during specific circumstances. You can control the data that is displayed for users in different scenarios. These are the possible scenarios in which data is accessible to a user:
- Client: Users with access to data group in the Client context have access to data when using the functionality in the applications like expense reports or travel plans. For example, if a user has access to the TS: Data group in the Client context, then the user can use that data when creating or reviewing timesheets. However, the user cannot view the data when generating reports.
- Admin: Users with access to data group in the Admin context have access to data when running the Infor Expense Management System Administration Tool application.
- Role: Users with access to
data group in the Role context have access to data only for review and
reporting purposes.
Note: Users assigned to an Admin Type group and Data Type group cannot access role restricted context.
Users can also access data if the groups assigned are a part of parent or a child group. A user with access to the parent group has access to all data in the child group.
Corporate data elements must be specified as unique in the entire database or only in member groups. The uniqueness of groups for data means that values for that data are unique within all the groups. This uniqueness includes not only direct parent groups of that data, but also any groups that are associated with the group in a parent or a child relationship.
The uniqueness of groups is validated each time in these possible scenarios:
- A corporate data is added or edited.
- A corporate data status is changed from inactive to active.
- A group is added as a parent or a child of another group.
- A group’s status is changed from inactive to active.
