Editing a business rule

Use to edit an existing business rule.

The Edit Business Rules page information determines the characteristics of the business rule, the severity, user notification, the Strings tab for editing the warning messages, the Parameters tab for selecting the values that trigger the business rule, the Apply To tab to select the organization or group to which the rule applies, and buttons.

To edit a business rule:

  1. Select Manage > Business Rules > Business Rule.
  2. Click Find twice to locate a business rule that you want to edit.
  3. Select the business rule.
  4. Specify this information:
    Severity
    Select the severity of the business rule:
    • Invalid: The data is not acceptable.
    • Explanation: The data is acceptable, but requires an explanation.
    • Warning: The data is acceptable, but a warning message displays.
    Notification
    Select the kind of notification users will receive when the business rule is violated:
    • Interactive only: A brief warning message is displayed that explains the business rule violation. You can edit the interactive message with the Strings tab.
    • Report only: A brief notification message is attached to the document if a Warning or Explanation Required severity level rule is violated. You can edit the report message with the Strings tab.
    • Both: An interactive message is displayed and the report message is attached to the document.
    • None: Neither the interactive nor the report message is applied.
    Fire On Itemization
    Applies the rule at the lowest level. For example, if the action is Update ER Line Item, then the rule fires at the line item level; that is, when you specify a line item. However, ER line items can be itemized and you apply the rule at the itemization level instead of at the line item level. Therefore, select Fire On Itemization and select both the Update ER Line Item and the Update ER Itemization Item actions.
    Using the example of a hotel bill that is $500 and a rule that says the hotel expense must be less than $100 per day; select both the Update ER Line Item and the Update ER Itemization Item actions and select the Fire On Itemization check box causes this behavior:
    • If the user itemizes the $500 bill to $100 per day for 5 days, the rule does not fire.
    • If the user itemizes the $500 bill to $250 per day for 2 days, the rule fires at the itemization lines.
    • If the user makes one line item entry of $500 for the hotel bill, the rule fires at the line item level.
    Fire Offline and Online options
    Select how to apply the business rule:
    • Fire Offline and Online: Apply the rule when the document being edited is online or checked out.
    • Fire Offline Only: Apply the rule when the document being edited is checked out.
    • Fire Online Only: Apply the rule when the document being edited is online.
    Most business rules can be configured to fire offline and online. If the business rule needs a large amount of data that is not available in the offline database, it cannot be run in offline mode. For example, if a company has a large number of project codes it may be impractical to store them in the offline database. In this case, the Project Code Validation business rule could be configured to run online only. When an offline document with project codes is uploaded, the business rule would fire.
    Fire Scope
    Select when to fire the business rule:
    • Every time: The rule fires every time for the event selected in the Fire On list.
    • Once Per Session: The rule fires only once during a session. On the HTML client, a session begins when a user opens a document and ends when the user closes it. On the Java client, a session begins when a user logs into the application and ends when the user exits from the application. For example, a consultant is creating three expense reports during one session. Due to reasons of flight availability, the consultant used Airlines 1 for the three flights, instead of the preferred vendor, Airlines A. If Once per session is selected, the consultant receives only one informational message of the Preferred Vendor policy. The message is displayed after the first airline item is saved.
    • Once per recurring expense group: Similar to Every time except when the user specifies more than one day for Number of Nights/Days. In that case, multiple line items are created but the rule fires only once.
    Status
    Select a status for the rule.
    Policy Based Routing
    Select a routing based policy on which to base the rule.
    External Key
    Optionally, specify a unique ID. If your company uses the Expense Management Import tool to populate the Expense Management database, external keys are imported into the database automatically. See the Infor Expense Management System Administration Tool User Guide.
  5. Click the Strings tab to update the messages. See Adding business rule strings.
  6. Click the Parameters tab to update the parameters. See Working with business rule parameters.
  7. Click the Apply To tab to select the specific group or organization to which the business rule will be applied. See Applying a business rule to a group or organization.
  8. To save your changes, click OK.
