New Contract Configuration Checklist Details

What to Charge For:

Charge Codes Identify charge codes for the services you will be billing. These codes will appear on the invoices. Add additional charge codes if they are not in the preloaded codes. Charge groups are used for reporting purposes. Additional groups can be setup on the Charge Group screen if desired.
Taxes Create tax structures for any charges that are taxable.

Units being Charged For:

Units of Measure Identify and add any units of measure that are not preloaded.
UOM Conversions Identify any conversions if converting between US/metric or between different orders of magnitude (Kgs to Metric Tons).

When to Charge Recurring Storage:

Periods Review preloaded periods and add others if needed.
Holidays Add holidays only if the recurring charges are deferred on holidays.
Recurring Rule Review preloaded recurring rules and add others if needed.

Different Rates for:

Item Groups If rates are different for a subset of items, create the groups.
Carrier Groups If rates are different depending on the carriers, create the groups of carriers.
Partner Groups If rates are different depending on the consignee, consignor, or vendor of the inventory, create the appropriate groups.
Bill Groups If rates are different for items, carriers, partners, or locations identify the combinations of these that require different rates.

Configure Event Triggers:

Billing Events Create a billing event for each charge code that is automatically triggered.

Configure Rates:

Rate Groups Rate groups should be configured for each combination of Billing Event and Bill Group.
Minimums Create minimums if needed.
Markups/Discounts Create markups or discounts if needed.

Configure Contracts:

Contract Create a contract for the customer with detail lines that match up each bill group, rate group, and billing event.

Configure Accounting:

Contract Create a contract for the customer with detail lines that match up each bill group, rate group, and billing event.
Charge Account Distributions If charges are directed to different departments or accounts for this customer, they should be configured on this screen.

Configure Users:

Users Add billing users that will be handling the invoicing for this customer.
Profiles Review access permissions to users that handle invoicing.
Note: If you are dealing with customers using different currencies, you can maintain exchange rates using the Country Codes and Currency Codes screens.
