Creating a shipment order

To create a shipment order:

  1. Select Outbound > Shipment Order. The Shipment Order screen is displayed.
  2. Click New. The Shipment Order and Shipment Order Detail screens open in Form view.
    Note: Changing this number to a non-sequential value that has not yet been used by the application can later cause duplication errors that result in application termination.
  3. Do one of the following:
    • In the Owner field, specify an owner.
    • Click the Lookup icon next to the Owner field and select an owner.

      The Order Type and Order Handling Type fields are pre-populated with values for a standard Shipment Order. If necessary, these fields can be changed by selecting another value from the corresponding list.

    Note: 
    • The Status field is pre-populated and updated by the application. This field cannot be edited.
    • The Batch Order Number field is not editable. Also note that any orders with the order type of 100 (Batch Order) or an order status of Batched are not editable and are excluded from any processing (allocating, releasing, shipping, etc.).
  4. Select the Order Handling Type.
  5. If applicable, populate the remaining (optional) Shipment Order header fields. These fields are not required to save the record, but depend on the warehouse business operation.
  6. In the Detail List, specify the Item code, the Owner, and External Line # fields for the first detail line. If you do not know the item code, click the Lookup icon and select the code.
  7. To modify the pack, do one of the following:
    • In the Pack field, enter the new pack.
    • Next to the Pack field, click the Lookup icon and select the pack.
  8. To use a different UOM, select it from the UOM field list.
  9. Based on the selected UOM, enter the quantity of the item ordered in the Open Qty field.
    Note: To view the quantities available for the item, select View Balances > Lot by Loc by LPN.

    The following fields are pre-populated based on the item ordered. These fields can be changed if necessary:

    Ship Group 1-3
    If set to Yes, products that fail the validation parameters configured by the warehouse are prevented from being shipped.
    Shelf Life
    Indicates the amount of shelf life time for the item. This sets the number of days the item must have remaining prior to expiration when it is allocated or shipped.
    Rotation
    Rotation assigned to the product that defines whether the item is allocated from FIFO (First in-First out) or LIFO (Last in-First Out).
    Allow Substitute Item
    If the original item is not in stock, this option indicates whether the item allows auto substitution.
    Lottable01-Lottable12
    Applicable lot requirements for the order if the ExternalLot field is populated. These fields can be modified.
  10. If required, select the appropriate reason code from the Reason Code field list.
    Note: You must enter a Reason Code when following conditions exist:
    • Open quantity has been decreased lower than the original quantity
    • The Require Reason Code for Short Shipment flag is set to Yes for either the Owner, or Ship To Customer.

    Available short shipment reason codes are created and edited on system Codes screen in the SHORTRSNS code list (Go to: Configuration > Codes > System).

  11. On the Picking Instructions tab, enter the following:
    • Special picking instructions related to the order line in the Picking Instructions field.
    • Special user-defined data in the User Defined 1-5 fields.
    • Special notes pertaining to the order in the Notes field.
  12. If necessary, in the Carton Break field for each detail line (located on the SO Detail 1 tab), enter a code to identify items that must be in a separate carton.

    For example, if a Shipment Order with five detail lines has two details with a P1 Carton Break Code, these products are put in the same carton. If the other three details lines have a different Carton Break Code, such as P2, those products are put in a separate carton. If there are no special cartonization requirements, leave the field blank.

  13. If using the carton break feature, enter a quantity in the Carton Qty Break field on the SO Detail 1 tab.

    Multiples of this number are packed into a single carton until only leftover quantities remain. For example, if a shipment order detail calls for a quantity of 12 each with a break quantity of 5, ether 5 or 10 each can be packed into a single carton as space is available, and the two items left over is placed in a separate carton.

  14. Click Save.
  15. To continue entering additional detail lines, click New.
    Shipment orders that are imported from a host system through the API are immediately released for processing by TM. Orders created in WM, though, must be manually released to TM. After all of the detail lines have been specified and you are ready to release the order, click Actions > Send to TM.
    • If Load Management was used for the order, a Shipment message is sent to the TM module. The Status field on the Load tab in the TM module is changed from Pending to New indicating that the shipment order is ready for processing.
    • If Load Management was not used for the order, a Shipment message is sent to the TM module indicating that the shipment order is complete and ready for processing.
