Defining a blackout team calendar

You can prevent or discourage employees from submitting time off requests during certain periods by defining a blackout team calendar. By default, child teams automatically inherit the blackout calendar definitions that are defined by their parent team.

  1. Select Maintenance > Balances and Accruals > Blackout Team Calendar.
  2. Specify this information:
    Team
    Select the team you are defining the blackout calendar for.
    Year
    Specify the year of the blackout team calendar.
  3. Click Go. The Inherited section displays any blackout or grayout dates that have been inherited from a team higher up in the team hierarchy.
  4. Click Edits to expand the section.
  5. Click the Add button to specify blackout, grayout, or whitelisted dates. A row is added to the Edits section.
  6. Specify this information:
    Start Date
    Select the first day of the blackout, grayout, or whitelisted date range.
    End Date
    Select the last day of the blackout, grayout, or whitelisted date range. For single-day ranges, select the same end date as the start date.
    Type
    Select one of these types:
    • Blackout: Employees cannot submit time off requests for any day covered by the defined range.
    • Grayout: Employees are discouraged from submitting time off requests during these dates, but the system allows the request.
    • Whitelisted: These dates are not considered special for this calendar. Employees are free to submit requests for these days.

      You only have to define whitelisted ranges when overriding blackout or grayout dates that were defined higher up in the team hierarchy. The blackout and grayout dates that you can override are displayed in the Inherited section.

    This Team Only
    Select this check box to prevent this calendar definition from being inherited by child teams. By default, a calendar definition is inherited by child teams.
  7. Repeat the previous two steps to specify more blackout, grayout, or whitelisted dates.
  8. Click Save to save the blackout team calendar. The Final section displays the final blackout and grayout dates that apply to employees of this team, including inherited dates.
