Creating shifts

You can create ad-hoc shifts in Central Staffing to cover unanticipated staffing requirements or for any other reason. Ad-hoc shifts can be created for any of the combinations of units and jobs that are currently displayed in the Schedule Zone. You can assign an employee to the new shift, or you can create one or more unassigned shifts.

  1. Load a schedule.
  2. Click the Add Shift button in the section for the job and unit combination that you want to add the shifts to.
    The Add Shift pop-up is displayed. The job and unit for the new shifts are pre-populated based on the location of the Add Shift button that you selected.
  3. Specify this information:
    Date
    Specify the shift date for the new shifts.
    Employee
    Specify the employee that you want to assign to the new shift, or leave this field blank to create one or more unassigned shifts.
    Shift Label
    Specify the shift label of the shifts you are creating.
    Number of Shifts
    If you are creating unassigned shifts, specify the number of shifts that you would like to create.
    Note: This field is disabled when an employee is specified in the Employee field. It is not recommended to create a large number of shifts in a single transaction. Creating too many shifts in a single transaction may cause poor performance.
  4. Specify labor metrics for the new shifts as required. Labor metric fields are enabled by the system administrator during configuration.
  5. Specify UDFs and flags for the new shifts as required. If specifying values for UDF or flag fields that are different than default values in the configuration of the shift, the Override Shift Configuration check box must be enabled. UDF and flag fields are enabled by the system administrator during configuration.
  6. Click Submit.
    The new shifts are validated for shift overlaps and schedule compliance warnings or errors that would be caused by creating the shifts. If creating the shifts would not cause any warnings or errors, the shifts are created. Otherwise, a list of warnings or errors that would be caused by creating the shifts is displayed.
    Note: An information message is displayed if the new shifts occur outside the time range that is currently displayed in Central Staffing. You can still create the shifts, but the shifts will not be displayed in the Schedule Zone after they are created.
  7. If any warnings or errors are displayed, perform one of these options:
    • If only warnings are found, click Submit again to confirm the warnings and create the shifts. Or, change the selected options or click Close to cancel.
    • If any errors are found, the shifts cannot be created. Change the selected options or click Close to cancel.
The shifts are created, and shift cards for the new shifts are displayed in the Schedule Zone.
