Adding skills to shifts

Skills can be added to shifts to provides additional qualifications for shifts within MVS. Skills can be combined with jobs to create multiple qualifiers for shifts.

These topics describe how different MVS components interact with skills.

Associate skills with shifts in shift templates

Skills from Team Qualification Requirements (TQR) are automatically imported into shift requirements templates for the same team. Skills can be automatically imported for each job defined in TQR. In shift templates, skills can be manually associated with shifts. Each shift in a job has a set of skills.

Generate shifts with skills

When generating shifts from shift templates where there are skills associated with shifts, the associated skills are attached to the generated shifts. Shifts can be generated as relief shifts or unassigned shifts. The skill association is done at the Shift Summary level.

View and edit skills in MVS shifts

In the ASV, users can view the skills and skill levels required on a shift. Users can also modify the skills associated to a shift. When users save the modification, the system validates the shift. The validation confirms that the assigned employee is still qualified to work the shift. If the employee is not qualified to a mandatory skill, the assignment is invalid and a warning message is displayed. If the employee is not qualified to a non-mandatory skill, a warning message is displayed, but can be dismissed to keep the employee assigned to the shift. The same validation is performed when assigning the shift to an employee or when swapping or floating a shift.

When users create ad-hoc shifts in the ASV and STC, users must manually attach skills to shifts.

Note:
  • When the system validates a shift, warning messages are displayed if there are mismatches between jobs and skills.

View and edit skills in Master Rotations and One-time Schedules

Users can add skills to rows in a Master Rotation (MR) or One-time Schedule (OTS). Skills on a row in an MR or OTS are added to all the shifts on that row. This is useful because it allows a scheduler to manage skill requirements for a short-term or long-term schedule without having to individually apply skills to each shift.

Similar to ASV, employees cannot be assigned to a row in an MR or OTS if they do not posses a mandatory skill. A warning message is displayed to the scheduler if an employee does not have a non-mandatory skill, but the employee can still be assigned to the row.

View skills in relief

Skills associated with a shift are visible in the Relief Queue (RQ) and the Relief Calling Area (RCA) using the shift hover. In the RCA, the skills field for filtering employees is pre-populated with all the skills attached to shifts.

Pre-populate STC Assign window

In the Assign window, the skills field for filtering employees is pre-populated with all the skills that are attached to the shift being assigned. This feature is available where ever the Assign window is used, such as mobile shift offer, or the Staffing Center (STC) assign.

Include in Shift History

The Shift History feature records when shifts with skills are created and edited.

Skills in Shift Billboard

Employees must have the required skills for a shift and meet or exceed the required proficiency level to claim shifts in Shift Billboard. When an employee logs into the Shift Billboard, they only see the shifts that they meet the skill requirements for. This applies whether the skills are mandatory or non-mandatory.

Skills in RTSS

Employees must have the required skills for a shift and meet or exceed the required proficiency level to select the shifts in the Real-time Self Scheduler (RTSS). To select a shift in Self Scheduler, employees must have all mandatory skills required by the shift. When an employee logs into the Self Scheduler, they only see shifts as available if they meet the skill requirements.

The ALLOW_MVS_OPT_SKILLS registry parameter determines if employees are required to have optional skill qualifications to select shifts. When this registry is set to TRUE, employees can see shifts as available if they do not have one or more optional skills, as long as they have the required mandatory skill qualifications. When this registry is set to FALSE, employees may only see shifts as available if they have all the required qualifications, including jobs, mandatory skills, and optional skills.
