Synching WFM schedule data with external calendars

From the My Schedule page, employees can link their schedule to an external calendar application such as Google Calendar or Outlook. By synching WFM schedule data with an external calendar, employees can view their scheduled shifts, approved time-off requests, and holidays along with other non-WFM events in a single application on their device or desktop.

When an employee taps the URL icon, a URL is generated for that employee, which can be used in external calendar applications to subscribe to their WFM schedule. Access to the URL icon is controlled using the ACTION_MYSCHEDULE_TAB_MYSCHEDULE_SHARE_BTN element, which is found on the MOB_SCHEDULE maintenance form. To link their schedule to an external calendar, employees must have Act permission to this element.

When WFM event information is delivered to a subscribing calendar, only data covering the next six weeks (today + 42 days) is included. Event information for dates beyond 42 days or for past dates are not included. No event information is delivered for days on or after an employee's termination date.

For example, if a new shift occurring within the next six weeks is assigned to an employee, a new event is created for the shift on the subscribing calendar. If an existing shift occurring within the next six weeks is deleted, the event is removed from the subscribing calendar. If an existing shift occurring within the next six weeks is changed, the event is updated on the subscribing calendar.

Note: WFM has no control over how often the external calendar system polls WFM for calendar information. After a change is made to an employee's schedule in WFM, it can take up to several hours for the subscribing calendar to resynchronize. Therefore, the calendar feed should not be relied upon as a means of communicating time-sensitive schedule change information to employees.

Changes to events in an employee's subscribing calendar are not reflected in the WFM calendar.
