Skill Expiry Notification Task

The Skill Expiry Notification Task sends Workmail notifications to employees to inform them of an upcoming expiry date for a skill that must be renewed with a course certification. Optionally, other interested parties, such as the employee's supervisor or the course administrator, can be sent these notifications too.

The course administrator adds the skill expiry date, a recertification date, and a Notify within (Days) value when creating the course.

The course administrator can specify:

  • When the Workmail is sent (Notify within (Days) field), such as 60, 30, or 10 days before the skill expires
  • What the contents of the Workmail include (Notification Message field)
  • Whether any other users receive a copy of the Workmail message (Additional lookup)

The Skill Expiry Notification Task notifies the employee and any additional people as defined by the course administrator on the Course Details page.

If the employee passes all courses that are required for a skill, the course administrator adds the skill, and its expiry date, to the Employee Skills section of the Employee Details page.

If the employee fails or does not retake the course, the skill expires on the Employee Skills section of the Employee Details page. In addition, the job expires on the Employee Job section of the Employee Details page when the Job Qualification Update Task runs.

You can set the Skill Expiry Notification Task to run daily.

Employee skills

Skills are assigned to an employee in the Employee Skills section of the Employee Details page.

The employee qualifies and becomes unqualified for skills based on the skills that are listed. Course administrators and the system (using the Skills and Training Import Interface) maintain the relationship between employees and skills that display on this page.

The course administrator defines the Start Date and the End Date when the employee passes the final course that is required to achieve that skill.
