Setting up alternate or delegate users

To set up an alternate or delegate user:

  1. Select Maintenance > Security > Users.
  2. Click Edit next to the user to which a referenced user is to be assigned.
  3. Navigate to the User Delegation section.
  4. Specify the date on which the referenced user begins taking responsibility in the Start Date field. The default value is 01/01/1900.
  5. Specify the date on which the referenced user stops taking responsibility in the End Date field. The default value is 01/01/3000.
  6. Select the user’s role for which the referenced user will be assuming responsibility from the Assigned Role lookup.
  7. Select one option:
    • Select the specific user who will assume the role of the current user from the To User lookup.
    • Select the role of the user who will assume the role of the current user from the Or to this Role lookup.
  8. Specify any comments describing the delegation in the Comment field.
  9. Select one option from the Delegation Type lookup:
    • ALTERNATE: The referenced user acts as a substitute to the current user only on the occasion that the current user is not scheduled to work or is on a long-term absence. The referenced user is limited to their assigned role within the specified start and end dates.
    • DELEGATE: The referenced user acts as a substitute to the current user for all occasions, limited to their assigned role and form types, within the specified start and end dates.

    Do not select the PROXY option in the Delagation Type field on the User Delegate page.

  10. Select the interactions that the alternate or delegate will be able to receive when assuming the role from the For Forms lookup.
    If you are specifying an alternate, you must select ALL from the For Forms lookup so that the user becomes the alternate for all interactions. If you are specifying a delegate, you can select individual interactions.
  11. Click Save.
