Assigning Employees to New Jobs (and Creating Unstaffed Shifts for the Previous Job)

In this procedure, the employee is assigned to a new job for a portion of the employee’s assigned shift. At the same time an unstaffed shift is created to reflect the part of the shift that the employee could not work.

To assign an employee to a new job and create an unstaffed shift of the remainder:

  1. Select the staffed shift you want to modify. The details propagate to the Schedule Details panel.
  2. Edit the shift times to reflect the new requirement. In the case of PC John, you would type 9:00 AM to 12:00 PM.
  3. Edit the shift information as necessary. For example, John’s new job would become Witness.
  4. Click the Details tab.
  5. Select the Del check box for the current details.
  6. Click Add Row to add a new detail row.
  7. Edit the new row’s start/end time to reflect the part of the shift that the employee can no longer work (in this example, 9:00 AM - 12:00 PM) and select the appropriate activity, time code, and so on.
  8. Click Save As New.
    The result is a new shift from 9:00 AM - 12:00 PM added to the schedule with PC John assigned to it as a Witness. John’s original shift remains, but his time driving a patrol car is shortened to 12:00 PM - 1:00 PM, while his time walking a beat remains as 1:00 PM - 5:00 PM.
While John is still scheduled for the same amount of time, the job as a Witness didn’t come from the staffing requirements, so coverage will now show a shortage of the job driving a patrol car from 9:00 AM - 12:00 PM.
