Canceling booked off shifts

You can cancel booked off shifts, or segments of a shift, to return the booked off shift to its original working activities. You can decide how to manage the relief shifts created when the book off was performed.

  1. Load a schedule.
  2. Right-click the booked off shift you want to cancel and select Cancel Book-off.
    The Cancel Book-off pop-up opens and displays the booked off segments of the shift.
  3. Select the check box for each segment of the shift for which that you want to cancel the time off.
    Note: A message is displayed if one or more book off segments cannot be canceled because the associated relief shift has been booked off, swapped, floated. The check box is disabled for segments that cannot be canceled. Other booked off segments can still be canceled if the associated relief shifts have not been booked off, swapped, or floated.
  4. If the relief shift for any of the selected segments has already been assigned to a relief employee, select one of these options in the Relief Option field to determine how to manage the relief shift:
    • Select AR Relief to designate the relief shift with Action Required (AR) status.
    • Select Cancel Relief to remove the relief shift from the schedule.
    • Select Retain Relief to keep the relief employee assigned to the shift. This option converts the relief shift into an ad-hoc shift.
  5. Click Submit.
    The cancel book off transaction is validated to check these conditions:
    • Reverting the booked off shift or shift segments does not cause schedule overlaps with other shifts in the assigned employee's schedule. If a partial overlap would be caused and the book off was created using an Off-type book off code, the book off can still be canceled. A warning message is displayed that the overlapping shift will be shortened if the cancel book off transaction is completed. If the existing shift is fully overlapped, an error message is displayed and the cancel book off cannot be completed.
    • Reverting the booked off shift or shift segments does not cause schedule compliance errors or warnings.
    • Updates to the relief shifts do not cause schedule compliance errors or warnings.
    If there are no errors or warnings are found, the book off is canceled.
  6. If any warnings or errors are found, select one of these options:
    • If only warnings are found, you can click Submit again to cancel the book off. Or, update the selected options or click Close to cancel the transaction.
    • If errors are found, the cancel book off cannot be completed. Update the selected options or click Close to cancel the transaction.
Book offs are canceled for the selected segments and the shift activities are reverted to the original working activities. Filled relief shifts are updated based on the selected relief option, and unfilled relief shifts are deleted.
