Setting up RTSS Automation Setup Task

  1. From the homepage, select Maintenance > System Administration > Job Scheduler.
  2. Click Add Schedule.
  3. Specify this information:
    Task Description
    Specify the name of the task.
    Task Type
    Select RTSS Automation Setup Task.
  4. Specify the run time, time zone, schedule, and date range for the task.
    Note: Set the schedule to Daily, as recommended.
  5. Click Save.
  6. Click the Parameters button for the created task.
  7. Specify this information:
    Automate For
    Specify the scope of automation, where future processes are created using the same schedule pattern. Select from these options:
    • Process Group(s): Automates all processes and all teams in selected process groups. Use the database lookup to specify and view the list of available process name and its schedule end date.
    • Process(es): Automates all teams in selected processes. Use the database lookup to specify and view the list of available process name and its schedule end date.
    • Copy from Single Process: Uses selected process as a template to further create individual, automated processes for selected teams. Use the database lookup to specify and view the list of available process name and its schedule end date.

      If you select this, also specify the Teams to copy to field. You can use the database lookup to view the list of available teams to copy the schedule pattern.

    Initial Automated Process Dates

    Specify the date range for the first process created by the automation. You can select from these options:

    • Schedule Period: You can select the schedule periods with predefined dates.
    • Start and Ends Dates: You must manually specify the start and end dates.

    An inline validation error displays if selected teams have different schedule periods.

    Note: The window start and end dates are automatically calculated based on the difference between the schedule period date and the window dates on the original reference process.
    Process Creation Offset
    Specify when the next process is created relative to the current process's Schedule End Date. The valid range is -365 to +365. The default value is -7.

    A negative value creates the next process the specified number of days before the current process's Schedule End Date, enabling a just-in-time handoff. A positive value creates the next process after the current process closes.

    For example, with a 4‑week schedule period and shifts offered 49 days in advance, an offset of at least -52 (49 days plus a 3-day buffer) ensures the process is created early enough for the Initial Window Start Date to remain in the future.

    Shifts to Withhold

    Specify how many shifts per job per day to hold back from self-scheduling. The valid range is 0 to 999. Leave as 0 to offer all available shifts.

    Note: If the number of shifts to withhold exceeds the number of available shifts for a given day–job combination, the process offers 0 shifts for that combination. For example, if there are 3 available RN shifts on a given day and the Shifts to Withhold value is set to 5, no RN shifts are offered for self-scheduling on that day.
    Shift Templates
    Specify the shift templates used to auto-generate shifts when the process is created. Only active templates related to the specific teams are displayed.
    Notification
    Specify the user to receive workmail notifications whenever the task runs. If left blank, the task runs normally without sending any notifications.
  8. Click Save.
  9. Click Ok.
  10. Run the task.
  11. To verify the new automated process, navigate to Scheduling > Self-Scheduling > Process. All processes created by the RTSS Automation Setup Task must be in pending state.
    Note: The Self-Scheduling Process list includes a Parent Process column. This column indicates whether a process is created by the RTSS Automation Setup Task and displays the name of the parent process from which it is generated. You can use this column to identify child processes and trace them back to their originating reference process.
  12. Check the Task Log for confirmation that the task ran successfully.
If a notification user was specified, verify the Workmail notification is received.
