Searching for timesheets

  1. From the homepage, select Weekly Timesheet.
  2. Specify this information:
    Employees
    Click the database lookup and select the employees whose timesheets are displayed. To search for multiple employees, select multiple check boxes from the list.
    Teams
    Click the database lookup and select a team to search for the timesheets of its team members.
    Include Sub Teams
    Select this check box to include the timesheets of any sub team members of the selected teams.
    Home Team Only
    Select this check box to include only employees whose home team is the team specified in the Teams field. Timesheets of employees who are on that team because of a temporary team assignment are not loaded.
    If an employee is only partially assigned to the selected team for the date range being loaded, only the details on the dates when that team is their home team are displayed upon loading.
    Calc Groups
    Click the database lookup and select a calculation group from the list to search for the timesheets of any employee in the group.
    Pay Groups
    Click the database lookup and select a pay group from the list to search for the timesheets of any employee in the group.
    Shift Patterns
    Click the database lookup and select a shift pattern from the list to search for the timesheets of any employee working this shift pattern.
    Quick View
    Select a Quick View to load timesheets for a filtered set of employees. The list shows the Quick Views that have been defined for your organization and that you are authorized to use.

    When selecting a Quick View, only employees who match the criteria are included. Any additional selection criteria that you specify on this page, such as Teams, Calc Groups, or Pay Groups, are also applied.

    The time frame that is defined in the Quick View is used only to determine which employees qualify. It does not change the week that is displayed on the Weekly Timesheet.

    Quick Views are created and maintained by administrators. The Quick Views that are available in this list depend on your security permissions.

    Week Start Date
    Select a week from the list.
    Start Day
    Click the calendar icon and select a date.
    Biweekly
    Select this check box to load the biweekly timesheets for employees.

    By default, this check box is hidden. To make this visible, use the configuration mode.

    Authorization
    Select the authorization status:
    • All: All timesheets are displayed.
    • Weekly Timesheet Authorized Records: Timesheets with at least one authorized day are displayed.
    • Unauthorized: Timesheets with at least one unauthorized day are displayed.
    • Fully Authorized: Only the timesheets with every day authorized are displayed.
    • Fully Unauthorized Timesheets only: Only the timesheets with every day unauthorized are displayed.
    Order By
    Select the display order for the timesheets.
    Weekly Only
    Select this check box to include only timesheets of employees whose default timesheet is set to Weekly. When this check box is selected, timesheets of employees whose default timesheet is set to Daily are not loaded.

    You can use any combination of the filters at one time to find specific timesheets. For example, to find any employees working a specific shift pattern from a specific team, select both the team and shift pattern. The application returns any matching timesheet.

  3. Click Load.
    An error message is displayed if no timesheets meet the search criteria or if there are too many timesheets to load. Broaden or narrow your search accordingly.
