Minimum overlap percentage and Maximum overlap minutes settings

As of the 2026.05 release, you can use both percentage-based and time-based (minutes) thresholds to control which shifts display on the billboard in My Schedule. These thresholds use AND logic, which means a shift displays on the billboard only when both conditions are satisfied.

The Minimum overlap percentage on billboard and the Maximum overlap minutes on billboard setting determines whether a shift qualifies to display as an overlapping shift when the Show Overlapping Shifts toggle is enabled. A shift displays on the billboard only when the non-overlapping portion of the shift meets or exceeds the configured percentage or time threshold.

For example, assume an employee is scheduled from 9:00 AM to 5:00 PM, and a billboard shift is available from 3:00 PM to 8:00 PM. The available non-overlapping portion is from 5:00 PM to 8:00 PM, which equals 3 hours from the 5-hour shift, or 60%.

If you set the Minimum overlap percentage on billboard to 30%, the shift displays on the billboard because the available portion exceeds the configured threshold.

However, if the available billboard shift is from 1:00 PM to 6:00 PM, only 1 hour does not overlap with the employee's scheduled shift. This represents 20% of the 5-hour shift. Because the available portion does not meet the 30% threshold, the shift does not display on the billboard even when the Show Overlapping Shifts is enabled.

The Maximum overlap minutes on billboard setting determines the maximum number of overlapping minutes allowed before it removes a shift from the billboard. This field accepts whole-number values from 0 to 9999.

For example, assume an employee is scheduled from 5:00 AM to 11:30 AM, and a billboard shift is available from 11:00 AM to 9:00 PM. If the Maximum overlap minutes on billboard is set to 30, the shift displays on the billboard because the overlap is 30 minutes.

To use only the minutes-based rule, set Minimum overlap percentage on billboard to 0.

To use only the percentage-based rule, set Maximum overlap minutes on billboard to 9999.

For customers upgrading with existing Team Billboard Configuration settings, the Maximum overlap minutes on billboard field defaults to 9999 to maintain existing shift visibility behavior.

Note: If the calculated minimum overlap time exceeds the configured maximum overlap minutes for a shift, the shift is not displayed on the billboard.
