Sending relief shifts to the billboard

You can send shifts in the Relief Queue to the billboard, allowing employees to either claim them directly or place bids.

  1. Select Scheduling > Multi-view Scheduler > Relief Management > Relief Queue.
  2. Select the shifts to work with.
  3. Select one or more shifts to send to the billboard.
  4. Click Send to Billboard.
  5. If the selected shift blocks span continuous dates, you may optionally select the Send as Separate Block check box to post your selected shifts to the billboard as individual blocks. If left blank, your selected shifts are posted to the billboard as one merged block.
    Note: By default, this check box is hidden. Click the Turn ON config mode icon and select Act in the Permission Flag drop-down to show the Send as Separate Block check box.
  6. In the Claim Type section, select Immediate Claim to claim shifts immediately or select Bidding Process to submit shift bids.
  7. If you select Bidding Process, specify this information:
    Window Calculation Method
    Select Manual Selection, Review Window Ends at Shift Start, or Time Before Shift Starts to identify how to handle window timing.
    Bidding Window End

    Specify the end date and time for the bidding window.

    This field is required if you select Manual Selection or Review Window Ends at Shift Start in Window Calculation Method.

    Note: For shift blocks, selecting Manual Selection or Review Window Ends at Shift Start uses the datetime of the earliest starting shift.
    Review Window End

    Specify the end date and time for the review window to trigger the validation.

    This field is required if you select Manual Selection in Window Calculation Method. If you select Review Window Ends at Shift Start or Time Before Shift Starts, these fields are disabled, and no validation is applied for the review window end date and time.

    Note: For shift blocks, the start date and time of the earliest shift in the block is used as the review window end.
    Bidding Closes Before Shift (Hours)

    Specify the number of hours before a shift's start time when bidding for that shift will automatically close. This value is applied individually for each shift. The bidding end is calculated dynamically based on each shift's start time instead of a single static date and time. The default value is 48 hours. The minimum value supported it 0.05 hours or three-minutes. You can specify 0.05 hour increments.

    If the calculated close time has already passed, an error message is displayed. Instead, select Manual Selection and specify a valid date and time to continue.

    This field is required if you select Time Before Shift Starts in Window Calculation Method.

    Note: For shift blocks, the bidding close time is calculated from the start time of the first shift in the block.
    Review Closes Before Shift (Hours)

    Specify the number of hours before each shift's start time when the review window should automatically close. The review window is the period after bidding ends during which managers approve or assign shifts. This value is applied to each shift individually, so the review end is calculated from each shift's own start time. The default value is 24 hours. The minimum value supported it 0.05 hours or three-minutes. You can specify 0.05 hour increments.

    The Review Closes Before Shift (Hours) must have a lower value than Bidding Closes Before Shift (Hours). Since review occurs after the bidding closes, the review offset should have a smaller number than the bidding offset. For example, if bidding closes 48 hours before the shift, the review must close less than 48 hours before the bidding closes, such as 24 hours.

    If the calculated close time has already passed, an error message is displayed. Instead, select Manual Selection and specify a valid date and time to continue.

    This field is required if you select Time Before Shift Starts in Window Calculation Method.

    Note: For shift blocks, the review close time is calculated from the start time of the first shift in the block.
  8. In the Employee Criteria section, specify one or more billboard groups in the Send to Billboard(s) where the shifts are posted.
  9. Optionally, add comments to provide additional details about the shift.
  10. Click Send to Billboard to make the shifts available for claiming or bidding.
Note: The Review Window Preference field is hidden by default and set to Manual Selection. To enable and modify this setting, access the configuration mode and adjust the default preference.
