Supervisor Summary

The Supervisor Summary shows the hours that employees worked and the details of their labor allocation for a selected period. Data is gathered from Daily and Weekly Timesheets, depending on which timesheet employees use. From the summary, supervisors can review and authorize time at a daily work‑detail level or at a weekly summary level.

Depending on configuration, the screen can display as Weekly Supervisor Summary or Daily Supervisor Summary.

The Supervisor Summary provides two views:

  • Weekly view: Summarizes hours for the week or period.
  • Daily view: Displays hours and labor allocation by day and work detail.

Supervisors can switch between Weekly View and Daily View using the View Selector. Before using it, make sure to enable the View Selector in Config mode. The available filters and columns may vary between the two views.

This table shows each column in the Supervisor Summary screen:

Column Description
Employee The employee's name and code. You can click the employee name to view detailed timesheet entries. In Daily View, this link opens the employee’s timesheet with the inline details for the selected day expanded.
Job The job assignment related to the time entry. The default value is 0 if not configured. In Daily View, this value is shown for each work detail.
Project The project code for the employee's job assignment or labor allocation.
Docket The docket code assigned for the employee's job assignment or labor allocation.
Dept The department to which the employee's job belongs.
Hour Type The hour type used by the employee, such as REG or UNPAID. Unpaid work details are displayed; they are not automatically hidden by the Supervisor Summary.
Code The time code used by the employee, such as WRK or VAC.
Hours Total hours recorded for each time code. In Daily View, this is calculated for each work detail or day, depending on configuration.
Dollars Pay amount calculated based on logged hours.
Errors Any timesheet validation issues, such as balance violation error, pay rules restrictions, or configuration based errors.

This column is hidden by default.

Configuring the columns on the Supervisor Summary screen.

Submitted Displays whether a timesheet has been submitted for review or processing. This column reflects the submission status from the Daily or Weekly Timesheet:
  • For Daily Timesheet: The Submitted column is hidden by default on the timesheet. See Configuring the columns on the Supervisor Summary screen.
  • For Weekly Timesheet: Employees can submit the entire week or period, not individual days.
  • For Supervisor Summary: The Submitted column indicates whether the timesheet has been submitted from the Daily or Weekly Timesheet.

    A value of Y means the timesheet has been submitted. A value of N means the timesheet has not been submitted.

Authorized A check box that indicates whether the supervisor has authorized the entry. In Daily View, supervisors can authorize individual work details or all work details for a day, employee, or grouping.

This table shows the columns available in Daily View:

Column Description
Accounting Dimensions Accounting Dimension fields (ACCTD_ONE-TEN) that can be configured to show specific accounting-related attributes. These columns are hidden by default and can be enabled using the Config mode as required.

Rate The pay rate used to calculate the Dollars value for the work detail.
Work Detail UDFs and Flags Additional user‑defined and flag fields (WRKD_UDF1–10, WRKD_FLAG1–10) that can be configured to show specific labor or payroll attributes. These columns are hidden by default and can be enabled as required.

This table shows each button in the Supervisor Summary screen:

Button Description
Submit Submits the current timesheet for approval. This action finalizes the entries for the selected period.
Print Generates a printable version of the timesheet for record keeping or review.
Authorize All Submitted Authorizes all visible timesheet entries that have already been submitted. The value in the Submitted column must be Y.
Authorize All Un-Submitted Authorizes all visible timesheet entries that have not yet been submitted. The value in the Submitted column must be N.

As a supervisor, you can approve pending entries in bulk for the current view and filters.

Previous Week Navigates to the previous period in the current view.
Next Week Navigates to the next period in the current view.

Using Daily View

In Daily View, the Supervisor Summary shows one row for each work detail, depending on configuration. As a supervisor, you can:

  • Filter records by employee, team, pay group, project, job, and other selection parameters.
  • Group records by Employee, Project, or Job.
  • Sort records by project, team, work date, employee name, and other fields.
  • Authorize individual work details or all work details for a specific day or group. Selecting one work detail in a day automatically selects all work details for that day. Supervisors can then clear individual check boxes to exclude specific records from authorization.

Filtering, grouping, and sorting selections can be saved as presets. After choosing your parameters, click Save as Preset. You can load these presets later by selecting one from the Preset list in the parameters screen.

The parameters selected for the Daily View can be viewed by expanding the panel at the top of the screen.

You can configure the number of rows displayed per page in the Daily View by updating the Max Rows field in the Supervisor Summary Maintenance Form – Details page.

The Supervisor Summary does not automatically hide unpaid hours. All eligible work details are displayed, including unpaid records, based on the configured columns and field security.
