Shift splitting and merging in ASV

You can split shifts into smaller portions in Advanced Schedule View (ASV).

Splitting a shift is useful when a single employee is unavailable to cover the entire shift. For example, if an employee becomes ill during a shift, you can split the remaining portion and assign it to another employee. Similarly, if an employee calls in sick for an entire shift and no single replacement is available, you can divide the shift into multiple portions and assign each portion to a different employee.

ASV also supports splitting relief shifts created from book-off and float transactions. You can divide these shifts into portions when multiple employees are required to cover the full shift. This capability is also available in Central Staffing.

Merging a shift recombines portions of a previously split shift and restores the original shift timing. For example, if an employee assigned to a split shift later becomes available to cover the entire shift, you can merge the portions back into a single shift.

Depending on the requirements, system administrators, schedulers, or employees can split and merge shifts.

Requirements and considerations

Keep these requirements and considerations in mind when splitting and merging shifts:

  • The Split Shift and Merge Shift features must be enabled.

  • The combined duration of all split portions must equal the exact duration of the original shift.
  • You must adjust break activities to ensure they are correctly positioned within the split portions.
  • If the original shift has an on-call status, the on-call status is also applied to the split portions.
  • These warning messages are displayed if:
    • The split creates non-contiguous shift portions.
    • The split assigns portions of the shift to multiple employees.
  • A shift must be split before it can be merged. The Merge Shift button is available only when a schedule contains a split shift.
  • You cannot merge a shift if any portion has been modified through actions such as book-off, swap, unassign, relief, or float transactions. In this case, the following message displays: Cannot merge. Actions have already been performed on the split shift.
  • Shift portions must be continuous. If a time gap exists between portions, the shift cannot be merged.
  • When merged portions have identical properties, such as job activity, labor metrics, and on-call status, they are displayed as a single merged shift.
  • When merged portions have different properties, they are continuously displayed as separate shift portions.
