Assigning shift patterns
You can assign a shift pattern to employees, entire teams, calculation groups, or payroll groups.
- From the homepage, select Maintenance > Schedule Settings > Shift Pattern Definition and Assignment.
- To assign a shift pattern to an employee population, specify this information:
- Employee
- Click the database lookup and select the employee to assign the shift pattern.
- Team
- Click the database lookup and select the team to assign the shift pattern.
- Calc Group
- Click the database lookup and select the calculation group to assign the shift pattern.
- Pay Group
- Click the database lookup and select the pay group to assign the shift pattern.
- Start Date
- Click the calendar icon and select the day the employee starts the shift pattern.
- The start date is the first date the employee's schedule is made from the shift pattern and not necessarily day 1 of the shift pattern. The start date of the shift pattern and the employee's shift pattern offset determine which day of the pattern falls on a calendar date.
- Permanent
- Select this check box to keep the shift pattern indefinitely. You must manually change the employee or group to another shift pattern. When this check box is cleared, you can specify an end date for an employee's shift pattern.
- End Date
- Click the calendar icon and select the day the employee ends the shift pattern.
- Retain Employee Shift Pattern Offset

Select this check box to preserve the employee's current shift pattern offset value. When unchecked, the shift pattern offset is reset to 0. This check box is unchecked by default.
Note: The Retain Employee Shift Pattern check box does not apply when you create a shift pattern without assigning it to an employee.
- Disable Creation With Offset
- Select this check box to always create a new shift pattern instead of reusing an existing shift pattern with an offset. When selected, the employee offset is set to 0 by default. However, if the Retain Employee Shift Pattern Offset check box is also selected, a new shift pattern is created but the employee's existing offset value is retained. This check box is not selected by default.
- To assign an existing shift pattern, click the database lookup in the Shift Pattern Selection field.
- Select a shift pattern.
- Click Assign.
Note: When you create a new shift pattern from this form, the system compares the new pattern only against existing shift patterns with the Exclude from Shift Pattern Assignment check box cleared. If a match is found and all attributes match, the system reuses the existing shift pattern. If an excluded shift pattern already has the same name as the new pattern, the system appends the shift pattern ID as a suffix to make the name unique. If the Disable Creation With Offset check box is also selected, a new shift pattern is always created regardless of whether a matching pair exists.
- In the To create a NEW Shift Pattern, complete the section below section, specify this information:
- Shift Pattern Name
- Select the name of the shift pattern.
- Number of Days
- Specify the number of days of the shift pattern and click Set Days. 7 is specified by default.
- Effective Date
- Click the calendar icon and select a date.
- Shift Times:
- Specify the values in the Start Time, End Time, Break Start Time, and Break End Time fields for Day 1 to 7. The number of days depends on the number specified on the Number of Days field.

Optionally, you can click Show/Hide Default Values and specify the values in the Shift Group, Shift Color, Break Hour Type, and Break Time Code fields. You can select the Year at a Glance check box to include the shift in the Year at a Glance report.
System administrators can control the visibility of the Start Time, End Time, Break Start Time, and Break End Time columns by using field-level security. Depending on your configuration and security settings, the following fields can be available:
- Start Time
- End Time
- Break Start Time
- Break End Time
- Click Create to create the shift pattern without assigning it.
- Click Create & Assign to create the shift pattern and assign it to the selected employee population.
Note: If the shift pattern that you created already exists, no new shift pattern is created upon clicking Create or Create & Assign to avoid duplication.
If the shift pattern already exists as an exact match, no duplicate shift pattern is created. If no exact match exists, a new shift pattern is created.

When a new shift pattern is created from the Shift Pattern Definition and Assignment form, validation uses existing shift patterns with Exclude from Shift Pattern Definition and Assignment Form cleared. An existing shift pattern is reused only when all applicable shift pattern attributes are an exact match. A new shift pattern is created when no exact match exists.
This validation does not use shift pattern offset values to reuse a similar shift pattern with a different start date.
