Enabling time approval

The Time Approval feature is not enabled by default.

You can enable Time Approval using the ENABLE_TIME_APPROVAL registry parameter.

  1. From the homepage, select Maintenance > System Administration > Time Approval Settings.
  2. Specify this information:
    Enabled
    Select this check box to enable time approval.
    Effective Date
    Click the calendar icon and select the effective date.
    Approval Type
    Select one of these options:
    • Week: Time entries are reviewed and approved on a weekly basis. This option is not supported on the Self Service Portal.
    • Day: Time entries are reviewed and approved on a daily basis.
    Approval View
    If you selected Day in the Approval Type field, and you use mobility or the Self Service Portal for time attestation, select one of these options:
    • STANDARD: Enables the standard time attestation in mobility. This option is not supported on the Self Service Portal.
    • DETAILED: Enables the detailed (enhanced) time attestation in mobility and the Self Service Portal. The ability to hide the Skip button, provide legal verbiage, and display the timesheet records that require attestation while making attestation decisions is included in the enhanced detailed time attestation.
      Note: These enhancements only apply to daily attestation in mobility and the Self Service Portal. The enhancements do not apply to weekly attestation or to ETM or to clocks.
    Allow Skip
    Optionally, clear this check box to prevent employees from skipping attestation records that require their approval or rejection. Employees must explicitly approve or reject each attestation record before submitting it when skipping is not allowed..
    Note: This option only applies to ETM and the standard time attestation in mobility. When the DETAILED option is selected, the Allow Skip option is cleared and cannot be selected.

    If you are using the detailed time attestation in mobility, you can use element security to control whether the Skip button is available or hidden to employees for selection.

    Rejection Comments
    If you use mobility or the Self Service Portal for time attestation, select one of these options:
    • NONE: Employees are not allowed to include comments when rejecting their time attestation. This option is selected by default.
    • OPTIONAL: Employees are allowed to include rejection comments, but are not required to do so.
    • REQUIRED: Employees are required to include a comment with their rejection. Rejecting a time attestation without including a comment is not allowed.
    Allow Resolve
    Optionally, select this check box to allow employees to resolve time approval records that they have previously rejected during time attestation. When an employee chooses to resolve a time approval record, the status of the record changes to RESOLVED and no further action is required. If this check box is cleared, a supervisor must update the employee's timesheet to reset the status of a rejected time approval record. After the reset, the employee must approve or reject the record during time attestation.
    Note: This option only applies to mobility and the Self Service Portal.
    Allow Re-calc on Approval
    Optionally, select this check box to allow recalculations for approved time records. If this check box is not selected, recalculations occur only when the status is Rejected or Resolved.
    Approval required for
    Select one of these options to generate attestation records:
    • Change in worked minutes: Select this option to generate attestation records for changes in aggregated daily worked minutes.

      This option is selected by default and reflects the current system behavior. This option is also the default for all upgrading customers and new installations.

    • All changes: Select this option to generate attestation records for any change in timesheet work details, including Start Time, End Time, Minutes, Work Date, Rate, Docket, Hour Type, Job, Time Code, Project, Team, Quantity, Bad Quantity, BadQtyRsncd, Type, Flags, Udfs, Department, Messages, Comments, Overridden, Authorization, Authorized By, Correction Record, Accounting Unit, Accounting Project, Account, Accounting Dimensions.

      This option is disabled by default for upgrades and new installations. Customers must enable this option to run the new behavior.

      Note: Only one option can be active at a time, and both options support localization. You can also configure security permissions to control access to this setting.
  3. Click Save.

In ETM, the Clocks panel displays the Time Approval button, which is enabled whenever there are any outstanding approvals.

In mobility, the Clock panel displays the Time Attestation button, which is enabled whenever there are any outstanding approvals. If detailed time attestation is enabled, users should also be granted appropriate security permissions to the Attestation section available on the detailed timesheet view. On the Self Service Portal, the Clock Options modal displays the Time Attestation button, which is enabled whenever there are any outstanding approvals. To use detailed time attestation, employees must have the appropriate security permissions to the Attestation section available on the detailed timesheet view.
