Minimum Overlap Percentage

The Minimum Overlap Percentage on the Billboard determines which shifts are shown as overlapping when employees view the Billboard tab in My Schedule, specifically when you turn on the Show Overlapping Shifts toggle.

A shift is displayed as an overlapping shift on the billboard if these conditions are met:

  • The portion of the shift that does not overlap with the employee’s scheduled hours meets or exceeds the percentage configured in the Minimum Overlap Percentage field.

  • The same available time also meets the required minimum number of hours for claiming.

If your scheduled shift is from 9:00 AM to 5:00 PM and another shift is available on the billboard from 3:00 PM to 8:00 PM, you would not necessarily see the shift listed under overlapping shifts. The overlapping shift that is displayed depends on the percentage that is configured in the Minimum Overlap Percentage field. For example, if your scheduled shift is from 9:00 AM to 5:00 PM (8 hours) and a shift is available on the billboard from 3:00 PM to 8:00 PM (5 hours) and the percentage threshold is set to 30% in the Minimum Overlap Percentage field, the minimum hours that should be claimed is 1.5 hours or 30% of 5 hours. The non-overlapping part of the shift meets that percentage. In this case, only the time from 5:00 PM to 8:00 PM (3 hours) is available for claiming, which is 60% of the whole shift. Since this exceeds the 30% threshold, the shift is displayed on the billboard.

However, if your scheduled shift is still 9:00 AM to 5:00 PM, and the available shift on the billboard is from 1:00 PM to 6:00 PM, only 1 hour is available to claim, which is 20% of the threshold. If the value in the Minimum Overlap Percentage field is still set to 30%, this shift is not displayed on the billboard even if you turn on the Show Overlapping Shifts toggle.
