Open Shift Manager

Use the Open Shift Manager to review shifts that are posted to the billboard or broadcast. You can review employee bids and assign shifts to employees.
Note: To show shifts correctly in the Open Shift Manager, ensure that these tasks are running in the Job Scheduler:
  • The Billboard Processing task is required for billboard shifts.
  • The Shift Offer Expiry task is required for broadcast shifts.

Access the Open Shift Manager through these portals:

  • Admin Portal
  • Self Service Portal

The Open Shift Manager contains these tabs:

  • Pending Actions: Shows billboard shifts that are in the review period for a team where you have a user role to view or edit. This tab also shows broadcast shifts that employees have bid on. Use this tab to assign shifts, reject bids, approve or deny a shift claim or employee post, and select Relief Not Needed for MVS shifts.
    Note: Shifts that are categorized as First Come First Served or employee-posted shifts that require supervisor approval during the approval process are also shown on the this tab.
  • Active Posts: Shows billboard shifts within the bidding window, broadcast shifts within the offer window, and any unclaimed shifts available for immediate claim. This tab includes the number of bids received, and view employee bids in the Bids tab within the details panel. You can also award shifts to employees before the bidding window ends. Use this tab to select Withdraw Post, Relief Not Needed, Assign.
    Note: The Assign button is hidden by default. You can show this button using Config Mode.

    See the Infor Workforce Management User and Administration Library (Multi-tenant) and select Administrator > Self Service Portal > Showing the Assign and Reject button in Active Posts.

  • Open Shifts: Shows all the shifts that are available for posting. This tab includes expired or withdrawn billboard or broadcast shifts, as well as shifts that were never posted and remain open. You can use this tab to assign shifts and select Relief Not Needed for MVS shifts.
  • Completed: Shows all shifts that have been assigned, marked as Relief Not Needed, or have ended without being assigned. You can use this tab to view past shifts, with the start date being set more than 6 weeks in the past. However, no actions are available on these shifts.

The Open Shift Manager contains these sub-tabs:

  • Bids: Shows the employees who have placed a bid on a posted shift. You can use this tab to sort the shifts for bidding by Employee Name, Seniority Date, and Hire Date. By default, Seniority Date (Oldest - Newest) is selected.
    Note: You can also add a custom sort order, similar to those configured in the Relief Calling Area, using the Sort Field list in Config Mode.

    See the Infor Workforce Management User and Administration Library (Multi-tenant) and select Administrator > Self Service Portal > Adding the Sort Field list.

  • Shift Details: Shows details of the shift you selected. For a shift block, select the shift from the drop-down to view all the shifts in the block. These shift details are the same as those found in Manage Schedule.
  • Post Details: Shows details of the posted shift, including the employees who can claim or bid on the shift.
  • Assignee: Shows details of the employee assigned to the posted shift.
