Scheduling a report

  1. Select My Reports > Scheduled Reports.
  2. Click Schedule Report next to the report that you want to schedule.
    Note: If the report is already scheduled, then the existing schedule is shown.
  3. Click Create New Criteria. The parameters that you see depend on the report.
  4. Specify a name for the report in the Criteria Name field.
  5. Specify the selection parameters for the scheduled report.
  6. Click Save.
  7. Click Schedule Report Run Times.
  8. Click Add Schedule.
  9. Specify this information:
    Schedule Name
    Specify the name of the scheduled report run job.
    Task Affinity
    Select the name of the server that is responsible for the task processing.
    Send on
    Specify the scheduled time for the report to be sent. The time is based on the time zone that is specified.
    Timezone
    Specify the time zone for the scheduled time.
    Send to users
    Specify the recipients of the report. If this field is blank, then the report is created, but no messages are sent.
    Distribute to lists
    Specify the distribution lists that you want to send the report to.
    Individual copy
    Indicate whether you want to send an individual copy of the report to each employee. This is only applicable if the report has been set up to generate data for specific employees.
    Email Report as Attachment
    Optionally, select this check box to send the report to the recipients as an email attachment. The email is sent to the recipient's external email address in PDF or Excel format only. The recipients also receive a workmail notification with a link to the report result.

    If this check box is not selected, the recipients only receive the workmail notification.

    Report Format
    Select HTML, PDF, or Excel as output format from the list. By default, all three report outputs are produced on the report server. To improve performance and reduce content storage, select only the output format that you require.

    This field does not apply to burst reports that only generate HTML output, or to the Payroll Based Journal Export for CMS report, which only generates Excel output.

  10. In the Scheduling Time section, select one of these options:
    • Once: The report runs only once. If you select this option, you must run the report manually.
    • Daily: The report runs at intervals of one or more days. There are two ways to specify the interval at which the report runs:
      • Specify the number of days between runs in the Every __ Day(s) field.
      • Specify the number of seconds between runs in the Interval __ Second(s) field. A minimum of 5 seconds between runs is allowed.
        Note: A value of-1 indicates that the field is not used.
    • Weekly: The report runs on the selected days each week.
    • Monthly: The report runs on the specified day of the selected months. You can enter a specific date on which the report runs, such as the 12th, or you can select a week and day of the week, such as the second Thursday.
      Note: If you specify a date that is exceeds the total number of days in a month, the report runs on the last day of that month. For example, if a report is scheduled to run on the 30th of each month, it runs on the 28th or 29th in February.
  11. In the Scheduling Range section, specify the start and end dates of the period in which the schedule will run.
    Leave the End By field blank to schedule the report to run indefinitely.
  12. Click Submit.
  13. Click OK.
