Restrict employees from editing timesheets

You can use the EMP_PRIORPERIODSBACK UDF in the UDF Name field of Employee Data to control if employees can edit their timesheets for prior pay periods.

For example, if you set EMP_PRIORPERIODSBACK to 2, then the employee can edit timesheets for the current pay period and the two previous pay periods only. If you set EMP_PRIORPERIODSBACK to 0, the employee can edit timesheets for the current pay period only.

If you do not specify a value for EMP_PRIORPERIODSBACK, then the number of prior pay periods for which the employee can edit timesheets is determined by the hands off date and lock down date of the employee's pay group. If you do specify a value, and the EMP_PRIORPERIODSBACK date is before the hands off date, the hand off date takes priority. Employees can never edit timesheets from before the hands off date.

As of 2025.09, editing restrictions based on the EMP_PRIORPERIODSBACK setting now apply to all security groups, not just the core EMPLOYEE group. Previously, the validation only worked for employees in the EMPLOYEE group.

This limitation has been removed and you can edit timesheet entries if the entry falls within the current pay period, or within the number of prior pay periods specified on the EMP_PRIORPERIODSBACK.

Note: The EMP_PRIORPERIODSBACK UDF only applies to Mobility and Self Service Portal (SSP) timesheets and does not affect timesheet editing on the Admin Portal of WFM. The EMP_PRIORPERIODSBACK setting only applies if the employee does not have lock down privileges. An employee with lock down privileges can edit timesheets from before the lock down date, regardless of this setting.
