Editing shifts

As of the 2025.11 release, you can edit a shift configuration even if the shift is already in use in the schedule by setting the ALLOW_EDIT_IN_USE_SHIFT_CONFIG configuration key to TRUE for the team. After shifts are created, all edits are effective-dated. If a shift is already used in scheduling, edits do not change those existing shifts. Changes apply only to new shifts created after the update. However, some attributes, such as Day Part, Shift Properties, Font Color, and Shift Type, update immediately.

For example, a shift is created on November 10 with a start time of 8:00 AM. You changed the shift configuration from November 5th to have the start time 7:30 AM and updated the font color. The font color updates immediately on the already in-use shift on November 10. The start time change applies only to new shifts created after November 5th, and existing shifts remain at 8:00 AM.

After you make any updates or changes in the application such as modifying an employee's shift or job details, the Gen AI might continue to display older information. To ensure that the current data is displayed in the Gen AI, start a new conversation.

Note: If a shift is inherited by child teams, the latest published date of the shift also includes any child teams that have used the shift in scheduling. Any shift edits made to the shift are also applied to child teams that have subscribed to the shift.
  1. Select Scheduling > Multi-view Scheduler > Advanced Settings > ES Data Definitions > Shift Configuration.
  2. Select a unit and date and click Load.
    The shifts that are available for the selected unit and date are displayed.
  3. Click the Pencil icon for the shift to edit.
  4. Select Edit.
  5. Specify the date range for which the shift modification is effective in the Edit Active Dates fields.
  6. Modify the attributes of the shift as required.
  7. Click Save.
