Adding time codes
- Select Maintenance > Payroll Settings > Time Codes.
- Click Create New Entry.

Specify this information:
- Time Code
- Specify a unique abbreviated code.
- Description
- Enter a description of the time code.
- Default Minutes
- Select the default length of time for the new time code. If this field is left blank, the default is the scheduled shift duration.
- Create on Days
- Select one of these options from the drop-down
list:
- All Days: Create time code on all days.
- Week Days: Create time code on week days only.
- Week Ends: Create time code on weekends only.
- Apply Only When Scheduled
- Select this check box to configure the application
to insert the time code only on scheduled days. This option is used for LTA
overrides and time off requests.
If this check box is selected, you can create an override for the code on an unscheduled day from the timesheet by selecting Code from the New Edit list and entering a start and end time for the override.
- Color
- Select a background color to display in a column or table row when the time code occurs on certain pages and reports using the lookup.
- Hour Type
- Select the multiple that is used for payment of the time code using the lookup.
- Unauthorize
- Select this check box to configure the application to not auto-approve a timesheet when this time code occurs. Any previously approved timesheets are not unauthorized.
- Sort Order
- Specify the order in which time codes are displayed in the Summary section of the timesheet.
- Include in Year at a Glance
- Select this check box to include the time that is charged against this time code in the Year at a Glance reports.
- Affects Balances
- Select this check box to configure the application to check the balance log and apply balances.
- Irregular Code
- Select this check box to indicate that this time code is an exception or irregular time code. If this check box is selected, the code is displayed in the Exception Report when the code occurs on the employee’s timesheet.
- Default Rate
- Specify the default hourly pay
rate of this time code. Generally, employees are paid according to the
associated hour type, but in cases where time codes are applied without hour
types, a default rate is used.Note: The time code's default rate is used for Flat Rate Code overrides only, which create one-hour premiums paid at the specified rate. Other overrides, including Work Premium, use the employee's base rate as the default rate.
- Time Code Summarize
- Select this check box to display this time code in the Code Summary table of the Daily Timesheet, the Weekly Timesheet, and the Supervisor Approval Worksheet.
- Hide on ETM
- Select this check box to hide work details with this time code from the ETM timesheet.
- Labor Metric Security
- Select the labor metric security group to apply to
this time code using the lookup.
This option lets the time code have a unique or common key that can be used to determine the data that certain users can see. See System security.
- Is LTA
- Select this check box to indicate that this time
code is a long-term absence.
This option is also used by the Weekly Timesheet to determine which time codes are displayed in the Non-Work Time section.
- Is Productive
- Select this check box to indicate that this time code is work-related.
- Exclude from Total Hours

Select this check box to exclude schedule details with this time code from an employee's weekly total hours within the legacy Multiview Scheduler (MVS).

Note: This check box should only be used by customers using legacy MVS. In current MVS, weekly hours are calculated based on the Working Activity field, which is selected when configuring activities. - Is BRK
- Select this check box to indicate that this time code is used to designate a break. Time segments with time codes that are breaks are removed when a full day absence (for example, vacation) or full day code (for example, training) is applied to the day. In these cases, the break is removed and a single time segment is applied covering the employee’s scheduled duration minus any break segments. In most cases, only unpaid breaks will be flagged as true breaks.
- Hide from Employee
- Select this check box to hide work details and premiums with this time code on employees' timesheets.
- Hide from Everyone
- Select this check box to hide work details and premiums with this time code from all users.
- Click Save.

Optionally, specify this information in the Time Code Balance
section:
- Balance Name
- Select the balance for the time code using the lookup.
- Balance Type
- Select the balance type for the balance using the lookup.
- Click Save.

Optionally, specify this information in the Time Code Data section
as required.
- ISCONTROLLEDABSENCE
- Specify Y to designate the time code as a controlled absence and include the time code in reports.
- ISUNCONTROLLEDABSENCE
- Specify Y to designate the time code as an uncontrolled absence and include the time code in reports.
- Click Save.

Optionally, select the reader groups you want to apply to the time
code in the Time Code Reader Groups section.
You must select a reader group if you want the time code to be downloaded to specific readers (ones that belong to an associated reader group). Time codes without reader group entries will not be downloaded to readers and will therefore not be available to an employee for swiping.
- Click Save.
