Time off types

Time off types divide the time that employees are absent from work into categories such as vacation time, jury duty, or bereavement time off. You can add and configure as many time off types as required to properly monitor and track planned absences.

A time off type specifies the time code that is used for the time off, which determines the balance that is decremented by the time off. As of the 5.0.3.2 release, you can specify an additional time code that the request will use if the employee does not have a sufficient balance. This functionality is useful for employees who do not accrue time off balances, such as vacation and sick days, but must be able to request time off. For example, part-time retail employees commonly do not accrue vacation balances, but they still must request time off so that they are not scheduled.

As of the 6.0.2.0 release, if you use the new Multi-view Scheduler (MVS) features for scheduling employees and intend to allow employees to request time off using the Time Off Planner, then the time code that is specified in the time off type must also be linked to a relief time code. The application uses the relief code to generate the necessary relief shifts for backfilling approved absences.

You can also configure several conditions that are considered when an employee selects the time off type, such as:

  • The minimum number of days an employee must be employed before using the time off type
  • Whether the type is available to full-time or part-time employees
  • Whether employees must specify a reason or comments when requesting the time off
  • The maximum length, in consecutive days, of the time off

Before you can configure time off types, ensure the appropriate balances and time codes are set up in the application. Each time off type requires at least one time code that decrements a balance. You can configure a time off type with multiple time codes to either pay employees in advance for their time off or allow employees without any time off balances to request time off.

The most basic example is a vacation time off type for employees who accrue vacation days. For this time off type, you must have a balance that tracks the amount of vacation time available to employees and a time code that deducts the vacation balance.

Time off types are linked to balances by their time code. So in this example, a system administrator would perform this configuration:

  1. Configure a vacation balance that is measured in days.
  2. Configure a VAC time code to deduct days from the vacation balance with the Affects Balances check box and Is LTA check box selected on its configuration page.

    If you use MVS features in the 6.0.2.0 release, configure a relief time code that is associated to the VAC time code such that relief shifts are generated when time off is approved.

  3. Create a new time off type and select the VAC time code on the time off type’s setup page.

When an employee requests time off and selects the vacation time off type, the application checks the employee’s vacation balance and rejects the request if the employee does not have enough vacation days.

In addition to this basic time off type, you can configure time off types that pay employees in advance for their time off. You can also configure unpaid time off types that employees can request without any balances and unscheduled time off types that employees can use to request time off for unscheduled days.
