Floating employees to unassigned shifts
You can float an employee to an unassigned shift to assign them to the entire shift or part of the shift. For example, you can assign employees from the float pool unit to cover unassigned shifts for other units.
- Load a schedule.
-
Select the shifts for the float transaction using one of these methods:
- Locate the shift card that is assigned to the employee that you want to float. Then, click and drag the assigned shift card to the shift card for the unassigned shift.
- Or, right-click the shift card that is assigned to the employee you want
to float and select Mark for
float. Then, right-click the unassigned shift and select
Float Into.Note: To perform a float, the assigned shift must overlap some portion of the unassigned shift. The Float Into option is not displayed on unassigned shifts that do not include time that overlaps the assigned shift. When an assigned shift is dragged to a non-overlapping unassigned shift, the pop-up does not open, and the assigned shift returns to its original position.
The Float Shifts pop-up opens and displays details for the employee's original shift and the unassigned shift. - In the Float Employee section, select the Float Code that you want to use when booking off the overlapping portions of the employee's original shift.
- If there are booked off activities in the middle of the overlapping time between the original shift and the unassigned shift, select the portion of the original shift to include in the float transaction using the Time radio buttons.
-
In the To Open Shift
section, specify the time in the unassigned shift to assign to the employee
using the Time
fields. The employee can be assigned to cover the entire shift or a portion of
it. The float time selected must overlap some portion of the employee's existing
shift. The float time may not extend beyond the start or end of the shift in the
To Open Shift section.
When shift times are specified, the Leftover sections are populated to indicate portions of the shifts that are outside of the specified times:
- In the Float Employee section, leftover times of the original shift remain assigned to the employee when the float is completed, not including booked off time.
- In the To Open Shift section, relief shifts are created for any leftover times of the unassigned shift when the float is completed.
-
For overnight shifts, select one of these options in the Detail Day drop down:
- Select Next if the time range selected for the float starts the day after the shift date displayed in the To Open Shift section. For example if the shift date is Tuesday, you would select Next if the float starts on Wednesday morning.
- Select Previous if the time range for the float starts the day before the shift date displayed in the To Open Shift section. For example if the shift date is Wednesday, you would select Previous if the float starts on Tuesday night.
- Leave the drop down blank if the float time range starts on the same day as shift date displayed in the To Open Shift section.
- If there are any leftover times of the unassigned shift, select the statuses to apply to the relief shifts in the Relief Status drop downs.
- Optionally, specify comments for the float transaction.
-
Click Submit.
The float transaction is validated to ensure that it does not cause schedule compliance warnings or errors, that the float times selected are valid, and that the employee has the required qualifications to work the shift in the To Open Shift section. If no warnings or errors are found, the employee is floated to the selected shift. Otherwise, a list of warnings or errors is displayed in the pop-up.
-
If warnings or errors are found, perform one of these
options:
- If only warnings are found, you can optionally enable the Approve Schedule Compliance Warnings check box to approve the warnings when the float is completed. Click Submit again to confirm the warnings and perform the float. Or, update the selected options or click Close to cancel the float.
- If any errors are found, the float cannot be completed. Update the selected options or click Close to cancel the float.
The employee is floated to the selected shift. Their
original shift is either partially or fully booked off, and relief shifts are generated,
if applicable.
