Schedule cleanup

You can automatically adjust an employee's schedules in response to an event with schedule cleanup processes. For example, you can configure the schedule cleanup to clean up the schedule for a terminated employee from their MVS shifts starting on the termination date.

You can also manually initiate a schedule cleanup processes. For example, you can clean up an employee's schedule before you transfer them to a new team. An event can also automatically trigger schedule cleanup processes.

Schedule cleanup processes update the schedule for an individual employee or team during a specified date range. A schedule cleanup process performs these changes to the schedule:
  • Assigned shifts are unassigned.
  • Shift links between the unassigned shifts and other shifts included in book off, shift swap, and float transactions are deleted. The links are recreated between the unassigned shifts and the other shifts in the transactions.
  • Assigned rows in a Master Rotation or One-time Schedule are unassigned during the selected dates. Rows that have previously been processed are then re-processed.
  • Book offs in ASV are canceled.
  • Approved time off requests are reverted to a Pending status, and require approval again.
  • Where time off is not allowed on unscheduled days, the time off request is canceled. Canceled requests are indicated in the task workmail.
  • Time off requests that are pending approval are denied.
  • Shift swap and shift billboard requests that are pending approval are rejected.

You must run the schedule cleanup processes to ensure accuracy in an employee's schedule. If you do not run a schedule cleanup process, this process can result to data discrepancies and schedule and operational inaccuracy and inefficiency. For example, invalid shifts remaining unassigned, conflicting shifts and transactions, pending requests of terminated employees remain active. There are also inaccuracies in the assigned rows in the Master Rotations and One-time Schedules. These inaccuracies result in payroll and timekeeping issues, such as underpayment or overpayment.

You can run the schedule cleanup processes under these conditions:
  • Transfer or team change of employee
  • Termination of employee
  • Inactivation of employee's schedule
  • Team elimination due to organizational changes
  • Shift changes or schedule adjustment
