Identifying the reason for a fair scheduling violation

When a fair scheduling violation occurs, you are prompted to select from a list of valid reasons.

The Reason for Schedule Change window includes this information:

  • Name of the employee that the scheduling change applies to
  • Name of the threshold that was violated
  • Work date of the shift that was changed, added, unassigned, or deleted
  • Start and end times of the new shift (not applicable to deleted or unassigned shifts)
  • Start and end times of the previous shift (not applicable to added shifts)
  1. Specify this information in the Reason for Schedule Change window:
    Reason
    Select a defined reason for the fair scheduling violation.

    Note: If you select Notification time as the waiver reason, you must also specify the date/time the employee was actually notified. Notification time is considered a universal reason code that is always a waiver. If you select a different reason, the current time of the edit (upon saving) is used as the notification time.
    Notification Date
    This field is only displayed if you select Notification time from the Reason lookup. Select the date when the employee was notified of the schedule change.
    Time
    This field is only displayed if you select Notification time from the Reason lookup. Specify the time when the employee was notified of the schedule change.

    If you specify a notification time that is still within the rule threshold, you will be returned to the Reason for Schedule Change window.

    If you specify a notification time that is within a second (less severe) threshold, you will be prompted to select a new reason for the second threshold. The notification time is saved from the original violation.

    Comments
    Optionally, specify any comments for the fair scheduling violation.
  2. Click Save.
    A fair scheduling event is logged and the schedule is updated.

    If the selected reason is marked as an approved waiver, the event is tracked as waived. The employee is not paid a premium.

    If the selected reason is not marked as an approved waiver, the event is tracked as unwaived. The employee is due a premium on their timesheet.
