Running Auto Assignment from the Clinical Science patient assignment page

This topic describes how to run the auto assign feature to assign patients to staff. This procedure is typically performed by a charge nurse.

A background task, AutoAssignment Scheduler Task, must be running for the auto assignment process to be successful. If you are not certain if the task is running or if you experience an issue when attempting to run the auto assignment process, contact your system administrator.

Note: Running the auto assignment process through the Admin Portal is recommended for the best user experience. However, the Self-Service Portal can be used if access through the user's phone is necessary.
  1. Log in as a Clinical Science user who has been given access to run the Auto Assignment process.
  2. From the Admin Portal, navigate to WFM > Clinical Science > Assignments > Patient Assignments.
    From the Self-Service Portal, select Clinical Science > Patient Assignments.
  3. Select Unit, Date and Day Part. The patients assigned to the unit and the registered nurses and other employees scheduled for the shift displays.
  4. Click Auto Assign.
  5. The Auto Assign Details screens display. Click Next to move through the options or Back to return to the previous screen.
    • Halls: If Halls are available in the Unit, they are listed and you can select Halls to be excluded. Click Next to continue.
      Note: If Halls were not created for the Unit, the Halls prompt does not display.
    • Primary Employees: The registered nurses available to work on the Unit display. You can select employees to be excluded from the assignment or Select All to include all primary employees. Click Next to continue.
    • Support Employees: Configured support personnel available to work on the Unit display. You can select employees to be excluded from the assignment or Select All to include all secondary employees. Click Next to continue.
    • On the Review and Assign page, verify that the assignment is what you intended and, if it is, click Auto Assign. If it is not, click Back to continue making changes.
  6. When you have selected all employees who should be included in the assignment, click Auto Assign. The assignment process runs. When the process completes, the generated auto assignments display on the screen.
  7. Review the assignments and any warning messages. If necessary, make manual changes and rerun Auto Assignment.
  8. When you are satisfied with the assignments, click Publish.
  9. When Auto Assignment completes successfully, an email is sent to the scheduler that includes this information:
    • Primary employee assignment ratio, patients to RNs.
    • Support employee assignment ratio, patients to support employees.
    • Any exceptions that occurred during the auto assignment processing, including employees who were not scheduled.

    The scheduler can forward this information and perform other email actions as required.
