Configuring shift premium zones

Use the Shift Premium Zone page to configure the shift premium zones for the Shift Premium Zone Rule.

  1. Select Maintenance > Schedule Settings > Shift Premium Zone.
  2. Click Create New Entry.
  3. Specify this information:
    Zone Name
    Specify a name for the shift premium zone.
    Zone Start Time
    Specify the start time of the shift premium zone. Only eligible work details between this time and the Zone End Time earn a premium. Zones can span midnight, such as from 22:00 to 2:00 the following day. If the start time is greater than the end time, the application assumes the zone crosses midnight. If you specify the same time for the Zone Start Time and Zone End Time parameters, the zone covers a 24-hour period.
    Zone End Time
    Specify the end time of the shift premium zone.
    Labor Metrics Method
    Select what the premium's labor metrics are based on from the drop-down list. When employees earn premiums, they are charged against labor metrics, such as specific departments or jobs. Select one of these options:
    • Default: Inserts the employee's default labor allocations with the premium.
    • First: Inserts the same labor metrics as the first eligible work detail in the zone with the premium.
    • Last: Inserts the same labor metrics as the last eligible work detail in the zone with the premium.
    • Preserve Labor Metrics: Inserts matching labor metrics with each eligible work detail in the zone. With this option selected, multiple premiums may be inserted on the timesheet so that each work detail that earns a premium in the zone has a corresponding premium record with matching labor metrics.
      • If all work details in the zone have the same labor metrics, only one premium record is inserted with matching labor metrics.
      • If the Insert Lump Sum of Minutes parameter has a value, the rule does not preserve labor metrics and instead uses the employee's default labor allocations.
    • Update Details Directly: Updates the existing work details affected by the shift premium zone instead of creating a premium record. When using this option, the rate value of the work details to which the shift premium zone applies is updated based on the configuration of the shift premium zone. In addition, if any of labor metric fields (time code, hour type, job, department, project, docket, and quantity) are specified in the shift premium zone, the affected work details are updated with the specified values.

    When Update Details Directly is selected, then the Apply Hour Type Multiplier to Hours, Insert Lump Sum of Minutes, and Populate Premium Time Fields parameters are ignored.

    Rate
    Specify the rate at which the premium is paid. If the Rate is a Percentage? check box is selected, the rate is a percentage of the employee's base rate or worked rate, as indicated in the Rate to Use field. Otherwise, the rate is a dollar amount.
    Rate to Use
    Select whether the premium is calculated as a percentage of the employee's base rate or the worked rate:
    • Base Rate: The premium is calculated as a percentage of the employee's base rate. This is the default.

      For example, assume the employee's base rate is $12.50 and the Rate value is 10. If the employee clocks 8 hours of eligible work, then the rule inserts a single premium of 8 hours in duration at a rate of $1.25 ($12.50 x 10%).

    • Worked Rate: The premium is calculated as a percentage of the rate applied to the work detail(s).
      For example, assume the employee's base rate is $12.50 and the Rate value is 10. If the employee clocks 4 hours of eligible work at $15.00 and 4 hours of eligible work at $11.00, then the rule inserts two premiums:
      • A premium of 4 hours in duration at a rate of $1.50 ($15.00 x 10%)
      • A premium of 4 hours in duration at a rate of $1.10 ($11.00 x 10%)

      In the case of multiple premiums, the sum total of the premiums are compared to the Premium Maximum Minutes per Day and Premium Maximum Dollars per Day values, if present.

    This parameter is only used when the Rate is a Percentage? parameter is selected.

    Type of Time Eligible for Premium
    Select whether scheduled worked time, unscheduled worked time, or both, is used to determine eligible worked time. Select one of these options:
    • Scheduled: Employees earn premiums for eligible work that coincides with their scheduled time. Work that is otherwise eligible does not earn the employee a premium if the work occurs when the employee is not scheduled.
    • Unscheduled: Employees earn premiums for eligible work that occurs when they are not scheduled. Work that is otherwise eligible does not earn the employee a premium if the work occurs when the employee is scheduled.
    • Both: Employees earn premiums for eligible work, regardless of the employee's schedule.
    Base Shift Eligibility on
    Select the schedule the rule examines when determining shift eligibility. The rule can be configured to only pay premiums to employees who work specific shifts, or shifts that start or end before or after specified times. This shift eligibility can be based on an employee's:
    • Default Shift: Only the employee's default shift, defined in the employee's shift pattern, is considered.
    • Actual Shift: The employee's actual shift takes into account any shift, shift pattern, or schedule detail overrides. If there are no overrides for the day, the default shift is used. For an example, see Business example 2: Shift Premium Zone Rule.
    • Work Summary Shift: The rule takes into account shift groups and clock on times. If the application has been configured to use shift groups, the employee's shift becomes the shift in their shift group that has the closest start time to when the employee clocked on for the day. Also, if the employee has multiple shifts, the rule considers the employee's shift as the start time of their first shift and the end time of their last shift. For an example, see Business example 4: Shift Premium Zone Rule.
    • Actual Schedule: The rule examines the employee's scheduled start and end times, instead of their scheduled shift. If multiple shifts exist on a single work summary day, the actual schedule is the scheduled start time of the earliest shift to the end time of the latest shift.
    This parameter controls the shift is used with the Eligible Shifts, Shift Must Start On or After, Shift Must Start On or Before, Shift Must End On or After, and Shift Must End On or Before parameters.
    Type of Eligible Detail
    Specify whether the rule considers eligible work details or work premiums, or both:
    • Work: Only eligible work details are considered by the rule. With this option, premiums can only be paid on work details. This is the default.
    • Premium: Only eligible work premiums are considered by the rule. With this option, premiums can only be paid on work premiums.
    • Both: All eligible work details and work premiums are considered by the rule. With this option, premiums can be paid on both work details and work premiums.

    If an eligible premium does not have start and end times, then all of the premium time is considered. If an eligible premium has start and end times, then only the portion of the premium that falls within the defined zone start and end times is considered.

  4. Optionally, specify this additional information:
    Time Code
    Select the premium's time code. When employees earn premiums, the premium record is inserted on their timesheet with the specified time code.
    Note: The time code is required unless the Labor Metrics Method parameter is set to Update Details Directly. In that case the rule updates the affected work details directly instead of creating a premium record. With this configuration, if a time code is specified, the time code value is updated in the work details to which the shift premium zone applies.
    Hour Type
    Select the premium's hour type. When employees earn premiums, the premium record is inserted on their timesheet with the specified hour type. The specified hour type's multiplier (the value of the Multiple field on the related configuration page) is also used with the Apply Hour Type Multiplier to the Rate parameter, if selected. If left blank, the rule uses the hour type of the work detail that earned the employee the premium. If multiple eligible work details have different hour types, the rule inserts one premium for each work detail with a different hour type.
    Note: If the Labor Metrics Method parameter is set to Update Details Directly, then the rule updates the affected work details directly instead of creating a premium record. With this configuration, if an hour type is specified in this field, the hour type value is updated in the work details to which the shift premium zone applies. If left blank, the hour type value of the affected work details remains unchanged. When updating the affected work details directly, the Apply Hour Type Multiplier to the Rate parameter can also be used.
    Job, Department, Project, Docket, Quantity
    Use these fields to specify the basic attributes of the premiums that are generated.
    Populate Premium Time Fields
    Select to populate the Start Time and End Time fields on the Daily Timesheet and the Work Details pop-up with the premium's start and end time. When selected, the premium is coupled to the worked time that earns the premium. If the eligible work is from 20:00 to 22:00, the resulting 2-hour premium is also from 20:00 to 22:00. If the parameter is not selected, or if the Insert Lump Sum of Minutes parameter is used, the premium's start and end times are not displayed.

    This parameter is not applicable when the Labor Metrics Method parameter is set to Update Details Directly.

    Apply Hour Type Multiplier to the Rate
    Select to multiply the rate by the premium's hour type multiplier. If the premium's hour type has a multiplier of 0, the rule inserts premiums with a rate of 0.

    If the Labor Metrics Method parameter is set to Update Details Directly, then the rule updates the affected work details directly instead of creating a premium record. With this configuration, if this option is selected, then the hour type multiplier is applied to the rate value that is updated in the work details to which the shift premium zone applies.

    Apply Hour Type Multiplier to Hours
    Select to multiply the premium's duration by the hour type multipliers of the work details that earned the premium. This parameter is ignored if the Insert Lump Sum of Minutes parameter has a value. If this parameter is selected but the Hour Type parameter is blank, the rule uses the hour type multiplier of the premium's time code.

    This parameter is not applicable when the Labor Metrics Method parameter is set to Update Details Directly.

    Round to Nearest Minute
    Indicates whether values are rounded to the nearest minute.
    Insert Lump Sum of Minutes
    Leave this parameter blank to configure the rule to calculate the duration of the premium to be proportionate to the duration of eligible work details in the zone. Specify the duration, in minutes, of the premium that employees earn if they report any eligible work during the shift premium zone. Regardless of the amount of eligible time employees work during the zone, the premium duration is the specified value. If you specify a value, the rule ignores the Apply Hour Type Multiplier to Hours? and Premium Maximum Minutes per Day parameters. Also, the rule uses the employee's default labor allocations.

    This parameter is not applicable when the Labor Metrics Method parameter is set to Update Details Directly.

    Premium Maximum Minutes per Day
    Specify the maximum number of premium minutes an employee can earn per day for eligible work in the zone. The maximum duration only takes into account premiums earned from this shift premium zone.
    Premium Maximum Dollars per Day
    Specify the maximum dollar amount employees can earn in premiums, per day, for eligible work in the zone. The maximum dollar amount only takes into account premiums earned from this shift premium zone.
    Eligible Time Codes, Eligible Hour Types, Eligible Shift Patterns, Eligible Shifts, Eligible Jobs, Eligible Departments, Eligible Projects, Eligible Dockets
    Specify the values that define eligible work.
    Day Type
    Select on which days employees can earn premiums:
    • ALL DAYS: Employees can earn a premium on any day.
    • WORK DAY: Employees can earn a premium on any work day, which is considered any day on which the employee is scheduled. The rule takes into account any shift, shift pattern, or schedule detail overrides.
    • FIRST DAY OFF: Employees can only earn premiums on days off that occur one day after the last work day.
    • SECOND DAY OFF: Employees can only earn premiums on days off that occur two days after the last work day.
    • THIRD DAY OFF: Employees can only earn premiums on days off that occur three days after the last work day.
    • FOURTH DAY OFF: Employees can only earn premiums on days off that occur four days after the last work day.
    • SATURDAY: Employees can only earn premiums on Saturdays. The rule considers all time allocated to the Saturday work summary date on the timesheet.
    • SATURDAY CALENDAR DAY: Employees can only earn premiums on Saturdays. The rule only considers work detail time on the Saturday calendar day.

      For example, an employee records clocks from 21:00 on Friday to 04:00 on Saturday. In this case, only the four hours recorded on Saturday are eligible for a premium, regardless of the work summary date that the time worked falls on.

    • SUNDAY: Employees can only earn premiums on Sundays. The rule considers all time allocated to the Sunday work summary date on the timesheet.
    • SUNDAY CALENDAR DAY: Employees can only earn premiums on Sundays. The rule only considers work detail time on the Sunday calendar day.
    • WEEKDAYS: Employees can only earn premiums on weekdays. The rule considers all time allocated to the Monday, Tuesday, Wednesday, Thursday, and Friday work summary dates on the timesheet.
    • WEEKDAY CALENDAR DAY: Employees can only earn premiums on weekdays. The rule only considers work detail time on the Monday, Tuesday, Wednesday, Thursday, and Friday calendar days.

      For example, an employee records clocks from 21:00 on Sunday to 04:00 on Monday. In this case, only the four hours recorded on Monday are eligible for the premium, regardless of the work summary date that the time worked falls on.

    • WEEKEND DAY: Employees can only earn premiums on weekends. The rule considers all time allocated to the Saturday and Sunday work summary dates on the timesheet.
    • WEEKEND CALENDAR DAY: Employees can only earn premiums on weekends. The rule only considers work detail time on the Saturday and Sunday calendar days.

      For example, an employee records clocks from 21:00 on Saturday to 04:00 on Sunday. In this case, all 7 hours are eligible for the premium as the details fall on the Saturday and Sunday calendar days.

    • HOLIDAY CALENDAR DAY: Employees can only earn premiums on days with holiday overrides on their timesheets. The rule only considers work detail time on the actual holiday.

      For example, an employee records clocks from 21:00 on December 25 to 04:00 on December 26. If a holiday override has been applied to the employee's timesheet on December 25 (but not December 26), then only the three hours recorded on December 25 are eligible for the premium.

    Quantity is Greater Than or Equal To
    Specify the quantity value that defines eligible work. A work detail is eligible if the related quantity is greater than or equal to the specified value. If left blank, eligible work can have any quantity value. If this parameter has any value, work details with a quantity of -1000 are not considered eligible as this value is the application default for a null value.
    Quantity is Less Than or Equal To
    Specify the quantity value that defines eligible work. A work detail is eligible if the related quantity is less than or equal to the specified value. If left blank, eligible work can have any quantity value. If this parameter has any value, work details with a quantity of -1000 are not considered eligible, as this value is the application default for a null value.
    Shift Must Start On or After, Shift Must Start On or Before, Shift Must End On or After, Shift Must End On or Before
    Specify the scheduled times that employee shifts must start and end to be eligible to earn a premium.
    Scheduled Range Start, Scheduled Range End
    Specify the time employees must be scheduled to be eligible to earn a premium. Employees who are not scheduled at the specified time are not eligible to earn a premium, even if they work eligible time during the zone. If you specify a time in the Schedule Range End parameter, the rule checks a time range between the start and end times. As long as employees are scheduled during part (or all) of the range, they are eligible to earn a premium. The schedule range can span midnight. If the start time is greater than the end time, the application assumes the range crosses midnight and the Schedule Range End occurs on the next day.

    Specify the end of the time range during which employees must be scheduled to be eligible to earn a premium.

    Minimum Number of Minutes Worked
    Specify the minimum number of minutes of eligible time an employee must work within the zone to be eligible to earn a premium. Eligible time is defined by the zone's eligibility parameters.
    Must Start Work On or After Time, Must Start Work On or Before Time, Must End Work On or After Time, Must End Work On or Before Time
    Specify the times employees must start and end work to be eligible to earn a premium.

    By default, the date from the work detail start time is used when comparing the specified time against the work detail start and end time. To use different dates, configure the Date for Start Time and Date for End Time parameters.

    Must Work Minutes, Must Work Minutes Start, Must Work Minutes End
    Defines the minimum amount of eligible time an employee must work, as either a number of minutes or a percentage, to be eligible to earn a premium. Eligible time is defined by the zone's eligibility parameters. The parameter accepts these values:
    • A number of minutes employees must work during their scheduled time. Specify the number of minutes, followed by S. For example, specify 120S to require employees to work 120 eligible minutes during their scheduled time.
    • A percentage of scheduled time employees must work. Specify the number, followed by %S. For example, specify 45%S to require employees work 45% of their scheduled time.
    • A number of minutes employees must perform eligible work during a specified time range. Specify the number of minutes, followed by T. For example, specify 120T to require employees to work 120 eligible minutes during the time range specified with the Must Work Minutes Start and Must Work Minutes End parameters.
    • A percentage of the employee's work day that employees must work during a specified time range. Specify the number, followed by %T. For example, specify 45%T to require that the eligible time employees work during the specified time range is greater than or equal to 45% of their entire work day.

    Specify the start of the time range that is used with the Must Work Minutes parameter.

    Specify the end of the time range that is used with the Must Work Minutes parameter.

    Date for Start Time
    Select the date that is used for the time specified in the "Must Start Work On or After Time" and "Must Start Work On or Before Time" parameters:
    • Start Date: The date from the work detail start time is used. This is the default.
    • End Date: The date from the work detail end time is used.
    • Charge Date: The charge date is used.
    Date for End Time
    Select the date that is used for the time specified in the "Must End Work On or After Time" and "Must End Work On or Before Time" parameters:
    • Start Date: The date from the work detail start time is used.
      Note: When using the "Must End Work On or After Time" parameter, choose this option if the shift can end after midnight.
    • End Date: The date from the work detail end time is used. This is the default.
    • Charge Date: The charge date is used.
    Apply UDFs to Premiums, Apply Flags to Premiums
    Specify the UDF or Flag fields that are applied to premiums. When the Preserve Labor Metrics option is selected in the Labor Metrics Method parameter, the selected work detail UDFs and Flags are copied to the premium.

    This parameter is not used when the Labor Metrics Method parameter is set to other values.

  5. Click Save.
